Job summary

Exhibition Place in Toronto, Ontario, is seeking a Production Coordinator to oversee quoting, delivery, and union supervision of production services for sales, events, and tenants.

You will coordinate labour, liaise with clients and AV suppliers, interpret drawings, prepare labour estimates, and support safety and payroll processes, contributing to a high-profile, multi-use venue.

Qualifications

  • Post-secondary education in a discipline pertinent to the job function or equivalent.
  • Ability to manage a flexible work schedule including days, early mornings, evenings, weekends and holidays.
  • Experience in the live events industry within a large-scale multi-functional facility or outdoor events.
  • Experience supervising staff in a unionized environment.
  • Possess a valid G Class Ontario driver’s license.
  • Experience utilizing Momentus, ADP, and Microsoft Office Suite (Word, Excel, Outlook, Teams).
  • Demonstrated knowledge of and the ability to interpret collective agreements, OHSA, Ontario Building Code, Ontario Fire Code and AODA.

Responsibilities

  • Oversee quoting, delivery, and union supervision of production services for sales, events and tenants.
  • Plan and coordinate labour work assignments and the administration of production services for assigned Exhibition Place events.
  • Liaise with Exhibition Place staff, clients, and client AV suppliers, providing staffing, equipment and material requirement expertise.
  • Analyze/interpret client’s technical drawings and equipment lists.
  • Act as liaison between Exhibition Place Production and third party AV suppliers.
  • Generate and update estimates for IATSE Labour based on production requirements, including audio visual and broadcast elements.
  • Prepare IATSE labour estimates for Event & Meeting Coordinators.
  • Provide coaching to union staff on excellence in customer service delivery.
  • Assist with department inspection programs and production equipment maintenance.
  • Verify and report time of unionized and non-unionized staff for payroll/client invoicing and review with Production staff.
  • Reconcile post-production labour costs and generate show report.
  • Ensure all workplace injury reports are submitted on time and fully completed.

What can I expect to do in this role?

Reporting to the Production ServicesManager, the Production Coordinator will oversee all activitiesrelated to the quoting, delivery, and union supervision of production servicesfor sales, events and tenants and the grounds.

  • Supervise, plan and coordinate labour work assignments and the administration of production services for assigned Exhibition Place events.
  • Participate in meetings, liaise with Exhibition Place staff, clients, and client AV suppliers, providing staffing, equipment and material requirement expertise pertinent to delivery of services.
  • Analyze/interpret client’s technical drawings and equipment lists.
  • Act as Liaison between Exhibition Place Production and third party AV suppliers in fostering a positive and productive working relationship.
  • Generate and update estimates for IATSE Labour based on production requirements, including audio visual and broadcast elements, for clients ensuring compliance with the collective agreement.
  • Prepare IATSE labour estimates for Event & Meeting Coordinators.
  • Provide coaching to union staff on excellence in customer service delivery.
  • Assist with department inspection programs and production equipment is maintained in proper working order.
  • Verify and report time of unionized and non‑unionized staff for payroll/client invoicing and review with Production staff.
  • Reconcile post‑production labour costs and generate show report.
  • Ensure all workplace injury reports are submitted on time and fully completed as related to event requirements and compliance.
  • Conduct safety orientations/toolbox talks as required for workplace safety.
  • Assist in developing workplace policies, practices and procedures and implement.
  • Consult with management on issues related to the IATSE collective agreement.
  • Perform other duties as assigned.
How do I qualify?

  5. Possess a valid G Class Ontario driver’s license.
  6. Experience utilizing software packages (Momentus, ADP, Microsoft Office Suite (Word, Excel, Outlook, Teams).
  7. Demonstrated knowledge of and the ability to interpret collective agreements, applicable codes, standards, guidelines, and government legislation, specifically the Occupational Health & Safety Act, Ontario Building Code, Ontario Fire Code and Accessibility for Ontarians with Disabilities Act.
  8. Ability to perform to a deadline and multi‑task.
  9. Proven customer services skills with a high level of organization and attention to detail.
  10. Great interpersonal skills with the ability to communicate effectively both verbally and written at a professional level.
