Job description

Procurement Services Coordinator

Permanent Full-time - 35 Hours Per Week - Monday to Friday - 12 months (1.0 FTE)

Salary range: $84,532 to $96,058

Start date: Immediately; Duration: Permanent

Procurement Services is responsible for providing professional procurement services for all schools and supporting departments within the Board. The Procurement Services Coordinator manages all procurement activities in line with Board Policies and Administrative Procedures.

Given the central role of Business Services, the Coordinator collaborates with schools and departments to develop oversight mechanisms ensuring efficient procurement practices across the Board.

Prerequisites for the position:

  1. Post-secondary degree or diploma in Business or Supply Chain management.
  2. Completion or near completion of NISCL, CSCMP, CPPB, CPPO, or equivalent; risk management certification is an asset.
  3. At least three years of experience in a complex purchasing environment, preferably in the public sector.
  4. Experience with public procurement policies across various commodities and services.
  5. Strong knowledge of contract law, bidding processes, and legislative requirements.
  6. Ability to work independently and in teams, with excellent analytical, problem-solving, and confidentiality skills.
  7. Excellent communication, presentation, and negotiation skills, with attention to detail.
  8. Proficiency with financial systems, e-tendering platforms, MS Office, and e-commerce applications.
  9. Valid driver’s license and vehicle.

Key Job Responsibilities:

  1. Guide and support staff on procurement activities, ensuring policy and legislative compliance.
  2. Manage the end-to-end procurement process, including bid document development, evaluation, and reporting.
  3. Review purchase orders for completeness and compliance.
  4. Administer the P-card program, ensuring adherence and identifying improvements.
  5. Support contract management, renewals, and creation.
  6. Oversee vendor performance to maintain quality relationships.
  7. Monitor procurement trends and implement improvements.
  8. Analyze spend data to enhance efficiency and transparency.
  9. Collaborate with public agencies on procurement initiatives.
  10. Review and promote e-commerce tools for procurement efficiencies.
  11. Maintain procurement information on the staff intranet.
  12. Provide guidance to the Buyer and support the Manager of Procurement & Risk Management Services.
  13. Assist with the Board’s risk management framework.
  14. Perform additional duties as assigned.
