Key Duties & Responsibilities
- Provide onsite leadership and oversight of the veterinary health care team to maximize overall business performance.
- Lead the continuous improvement of customer service and medical care quality.
- Ensure smooth communication during client visits and work with the Medical Director to resolve concerns.
- Oversee client communication such as welcome letters, sympathy cards, and newsletters, ensuring adherence to protocols and timelines.
- Implement team scripting, in-hospital marketing, and social media content to attract new clients, retain current clients, increase referrals, and foster community goodwill.
- Meet client needs for timely veterinary care, track new clients/patients, visit frequency, and achieve appointment and surgery fill rate goals.
- Ensure the team has adequate resources to deliver exceptional patient care.
- Understand and help manage the hospital's financial drivers.
- Maintain costs within budget, manage inventory, and eliminate bulk ordering and expired goods.
- Collaborate with Regional Manager and Medical Director on budgets, business plans, and equipment needs.
- Prepare financial, bookkeeping, and accounting reports, maintaining accurate records.
- Follow staffing schedules, verify financial health supports staffing plans.
- Act as a positive role model, fostering open, collaborative relationships and setting others up for success.
- Recruit, mentor, and retain a high-performing team, emphasizing accountability and morale.
- Monitor and discuss KPIs with leadership, implementing improvement plans as needed.
- Ensure hospital initiatives are completed on time, and team responsibilities are met.
- Review data and reports to enhance patient care and revenue, including bonding, reminders, and booking strategies.
- Keep fee schedules current, monitor revenue categories, and investigate discrepancies.
- Utilize available resources to make effective operational decisions.
- Ensure compliance with all controls, standards, and regulations, and facilitate staff training.
- Support front office and clinical duties as needed, including client intake, discharge, and scheduling.
Education & Experience
- Minimum two years of leadership experience in a veterinary or medical team preferred.
- Business administration training preferred.
- Strong understanding of HR, leadership, and practice innovation.
- Ability to develop strategic plans and manage budgets.
- Experience in coaching, conflict resolution, and performance management.
- Proven relationship-building skills at all organizational levels.
- Clear and effective communication skills.
- Progressive, strategic, humble, and achievement-oriented approach.
