We are accepting applications for a permanent full-time Planning Services Coordinator (Coordinator) to join our Planning and Development Services team. Reporting to the Manager of Development Planning, the Coordinator is a primary point of contact for Planning Services and provides responsive public service and administrative support throughout the planning application process. This position supports applicants, the general public, planners, and internal departments by coordinating application intake, responding to inquiries, maintaining accurate records, and helping ensure a consistent, efficient, and service-oriented planning review process.

The primary responsibilities of this role include:
  • Serving as the main point of contact for Planning Services for telephone, email, and in-person inquiries;
  • Providing applicants with guidance on applicable CVRD bylaws, policies, procedures, zoning regulations, application requirements, and related agency requirements;
  • Managing the department email inbox, ensuring inquiries are addressed, appropriately assigned, and tracked to completion;
  • Responding to public inquiries related to planning applications, land-use regulations, planning review processes, and application fees;
  • Reviewing planning application submissions for completeness; calculating fees, processing payments, creating application files, and uploading documents;
  • Completing planning support work, including records management, data entry, document preparation, correspondence, filing, database and spreadsheet maintenance;
  • Working collaboratively with planning, bylaw, building, and other CVRD staff, as well as external agencies, registered professionals, property owners, contractors, and the public;
  • Identifying and helping implement improvements to departmental procedures and processes.
Our ideal candidate is:
  • A public service-oriented and collaborative professional with strong interpersonal and conflict resolution skills;
  • Educated at the post-secondary level in planning, or another relevant discipline, with a diploma of over one up to two years following high school graduation;
  • Experienced in local government, with over three, up to four years of directly related experience (an equivalent combination of education and experience may be considered);
  • Knowledgeable in applicable bylaws, legislation, regulations, land use planning principles, local government administrative practices, and records management systems;
  • Able to interpret surveys, legal descriptions, and related documents; review planning applications for submission requirements and communicate technical information clearly to a broad audience;
  • Proficient in Microsoft Office Suite and SharePoint, with the ability to retrieve and interpret information from manual and electronic information systems and land use software, such as BC Online, Agricultural Land Commission systems, iMap, and Cityworks;
  • Able to independently organize competing priorities, maintain accurate and complete records and meet deadlines.

A valid BC Class 5 driver’s license is required for this role. Successful candidates will be required to consent to a Canadian Criminal Record Check.
