Job summary

Southlake Health leads the inventory control function in a hospital environment, ensuring book and physical counts align and discrepancies are resolved. The Pharmacy Technician Lead will shape workflows, monitor formulary contracts, and optimize purchasing and medication availability to support cost effectiveness and operational efficiency.

The role is a 6-month temporary contract with leadership responsibilities in inventory and contracting processes within the pharmacy operations team.

Qualifications

  • Licensed by OCP as a pharmacy technician.
  • Education from an accredited pharmacy technician program (CCAPP accredited).
  • Experience in hospital pharmacy and inventory control required.

Responsibilities

  • Maintain accuracy of inventory by aligning book and physical counts and address variances.
  • Identify and improve workflows to strengthen controls and contracts.
  • Monitor formulary and contracts to ensure availability under agreements.
  • Track inventory levels, usage, shortages, and expiry to optimize costs.

About the role:

The Pharmacy Technician Lead, Inventory Control is responsible for maintaining the accuracy and integrity of pharmacy inventory by ensuring alignment between book and physical inventory and identifying and addressing the root causes of discrepancies. The position provides leadership in inventory, and contracting processes by identifying opportunities for workflow improvement, implementing and evaluating process changes, and ensuring medications are appropriately contracted to support medication availability, cost effectiveness, and operational efficiency.

This is a temporary 6 month contract position.

What you’ll be doing:
  • Ensure the accuracy and integrity of pharmacy inventory by maintaining alignment between book and physical inventory, monitoring inventory discrepancies, identifying trends, and implementing corrective actions to minimize recurring variances, waste, and financial loss.
  • Identify operational workflows and processes contributing to inventory challenges and collaborate with pharmacy leadership and relevant stakeholders to develop, implement, standardize, and evaluate improved processes and controls.
  • Monitor the pharmacy formulary to ensure medications are appropriately contracted and available under established agreements. Identify medications requiring contract action and initiate or coordinate the appropriate processes to obtain contracts or alternative purchasing arrangements.
  • Monitor inventory levels, purchasing patterns, utilization, shortages, excess inventory, and medication expiry to identify opportunities to optimize inventory, reduce waste and costs, and maintain appropriate medication availability.
  • Analyze inventory and formulary data to identify trends, risks, and opportunities for improvement; provide recommendations and regular updates to the Manager, Pharmacy Operations and Medication Distribution; and serve as a subject matter resource for pharmacy inventory control and related processes.
What you’ll bring:
  • Licensed by OCP, education obtained from an accredited Pharmacy technician program (CCAPP accredited = Canadian Council for Accreditation of Pharmacy Programs).
  • 5 years experience as a Registered Pharmacy Technician in a hospital required
  • 5 years experience working with inventory control preferred
  • 3 years experience working with Meditech preferred
  • 3 years experience working with pharmacy automation systems preferred
  • Knowledge of inventory workflows from procurement to dispensing in a hospital setting
  • Knowledge of how Group Purchasing Organization (GPO) and contracts
  • Knowledge of controlled substance discrepancy investigations and their reporting requirements
  • Familiarity with Microsoft Word, Excel, Outlook, Teams
  • Ability to independently write and review policies and standard operating procedures
  • Critical thinking skills in troubleshooting problems and performing data analysis or investigations
  • Project management skills
  • Effective teaching skills and interpersonal communication skills
