Job summary

NewAge Products Inc. is seeking an experienced Personal Assistant to support our Chief Operating Officer. This remote-first, hybrid role focuses on personal and business logistics, travel, benefits, and expense management, plus day-to-day personal administration.

Qualifications

  • 3+ years of experience as a personal or executive assistant supporting a C-level or senior executive directly, one-on-one.
  • Demonstrated experience independently booking complex, multi-leg travel.
  • Strong written and verbal communication skills.
  • Familiarity with expense tools such as Concur.
  • Sound, independent judgment, with the discretion to know when to act and when to check in first.
  • Verifiable references from a prior employer who can speak to your reliability, judgment, and communication style.
  • Comfortable handling sensitive personal information with discretion and confidentiality.
  • Experience supporting an executive who travels internationally or extensively for work.
  • Familiarity and experience with AI tools to automate and work efficiently preferred

Responsibilities

  • Book and manage all travel - flights, hotels, ground transportation, and itineraries, including complex multi-leg trips and last-minute changes.
  • Manage travel logistics beyond booking - track passport/visa expiration and renewals, manage travel loyalty programs and points, and arrange travel insurance as needed.
  • Track and manage personal benefits - insurance enrollment windows, renewal deadlines, claims follow-up, and paperwork.
  • Manage and reconcile expenses - collecting receipts, categorizing spend, submitting reimbursements, and flagging discrepancies.
  • Handle other personal administrative tasks as needed: appointment scheduling, correspondence, research, gift and errand coordination, and similar requests.
  • Support ad-hoc special projects and research tasks as they come up.
  • Anticipate needs proactively rather than waiting for step-by-step instructions.

We are looking for an experienced Personal Assistant to support our Chief Operating Officer, who travels frequently for work. This is a dedicated, one-on-one support role focused entirely on personal and business logistics - travel, benefits, and expense management, plus day-to-day personal administration.

We're looking for someone who takes initiative, communicates clearly and proactively, exercises sound, common-sense judgment, and treats every request with the responsiveness and polish of excellent customer service.

KEY RESPONSIBILITIES
  • Book and manage all travel - flights, hotels, ground transportation, and itineraries, including complex multi-leg trips and last-minute changes.

NEWAGE OFFERS
  • Salary and bonus is based on experience and highly competitive for the right candidate
  • This is an existing vacancy and the base salary range for this position, is estimated to be $52,000 to $58,000 annually (CAD) at the time of the posting.
