Qualifications

Whatwill you do?

  • Process bi-weekly union and non-union payroll ensuring compliancewith relevant legislation, union contracts, policies and procedures;
  • Compare and process time verification reports torequests/forms and other adjustments to ensure accuracy of payroll payment;
  • Work closely with the Human Resources team onintegrated processes and data verification;
  • Ensure all payroll processes are checked foraccuracy and completeness adhering to pay deadlines;
  • Process and pay all employee expenses and mileageclaims working with Accounts Payable as needed;
  • Manage changes inpositions, status and leaves ensuring payments/allowances/deductions andbanking information is properly attached to the employee profile;
  • Configuration and maintenance of relevant Quadrantmodules;
  • Calculate and process all compensation changesfor employees, such as promotion, cost of living and determining any retroamounts owing;
  • Process pay changes for employees in the payrollsystem in relation to changes such as new hires, transfers, salary,banking information, deductions, taxation, etc.;
  • Process employee terminations ensuringappropriate pay related documentation issued and any applicable paymentsor recovery of entitlements are completed;
  • Payroll subject matter expert for staff andmanagement to address inquiries and provide training and information onthe payroll processes and use of the QHR system;
  • Submit Records of Employment documentselectronically to Service Canada ensuring appropriate coding based ondeparture reason;
  • Transmit electronic deposits to the banks forprocessing;
  • Ensure completion of all year-end payrollactivities including T4s, pension adjustment calculations, and completionof reporting requirements (CCRA, HOOPP, WSIB, and EHT);
  • Prepare and ensure for accuracy all payrollrelated remittances;
  • Prepare documentation for issuing manual chequesas required;
  • Maintain security of all employee salary data andfiles in accordance with legislative requirements and records retentionschedule;
  • Prepare and post month end journal entries;
  • Complete monthly reconciliation of all payrollrelated balance sheet accounts;
  • Compile statistical reports, statements and summaries related topay;
  • Compile Record of Employment, T4S and T4As as needed;
  • Accountable to follow safe practicesrelated to the security and privacy of information;

· Other payroll or functional duties as required.

· Minimum of 3 to 5 years ofrelated experience in payroll coordination and administration, ideally in aunionized environment, with strong technical experience in various programs;

· Advanced knowledge of payrollrequirements, including Canada Revenue Agency payroll rules, year-endreporting, EHT, WSIB, etc.;

· Knowledge of collectiveagreement entitlements as well as related legislation such as EmploymentStandards Act;

· Good understanding of generalaccounting practices regarding journal entries, reconciliation and reporting;

· Strong knowledge andexperience in generating reports from a payroll system (Quadrant an asset) anddeveloping spreadsheets using payroll information;

· Advanced computer skills andthe ability to use a variety of software programs such as Word, Excel, Outlook,etc.;

· Ability to work with limitedsupervision and practicing independent time management;

· Strong written and verbalcommunication skills;

· Professional, courteous andrespectful in all interactions;

· Ability to provide support toemployees on payroll information and enrollment forms and respond to employeeor management questions on a variety of payroll process inquiries;

· Exercises tact and judgmentwhen handling complaints from irate employees and managers when their pay isnot understood or as expected;

· Ability to be patient withrequests to generate reports with quick turnaround times;

· Establishes and maintainsworking relationships with managers and staff;

· Advanced written and verbalproficiency in English.

· Canadian Payroll Association’s certificationis an asset.
