What will you do?
  1. Process bi-weekly union and non-union payroll ensuring compliance with relevant legislation, union contracts, policies, and procedures;
  2. Compare and process time verification reports, requests/forms, and other adjustments to ensure accuracy of payroll payments;
  3. Work closely with the Human Resources team on integrated processes and data verification;
  4. Ensure all payroll processes are checked for accuracy and completeness, adhering to pay deadlines;
  5. Process and pay all employee expenses and mileage claims, working with Accounts Payable as needed;
  6. Manage changes in positions, status, and leaves, ensuring payments/allowances/deductions and banking information are properly attached to employee profiles;
  7. Configure and maintain relevant Quadrant modules;
  8. Calculate and process all compensation changes for employees, such as promotions, cost of living adjustments, and retroactive amounts;
  9. Process pay changes related to new hires, transfers, salary updates, banking information, deductions, taxation, etc.;
  10. Process employee terminations, ensuring proper documentation and payments or recoveries are completed;
  11. Serve as payroll subject matter expert, addressing inquiries and providing training on payroll processes and the QHR system;
  12. Submit Records of Employment electronically to Service Canada with appropriate coding;
  13. Transmit electronic deposits to banks for processing;
  14. Complete all year-end payroll activities, including T4s, pension adjustments, and reporting requirements (CCRA, HOOPP, WSIB, EHT);
  15. Prepare and ensure the accuracy of payroll-related remittances;
  16. Prepare documentation for manual cheque issuance as needed;
  17. Maintain security of all employee salary data in accordance with legislative requirements;
  18. Prepare and post month-end journal entries;
  19. Reconcile payroll-related balance sheet accounts monthly;
  20. Compile statistical reports, statements, and summaries related to pay;
  21. Compile Records of Employment, T4s, and T4As as needed;
  22. Follow safe practices regarding the security and privacy of information;
  23. Perform other payroll or functional duties as required.

Minimum of 3 to 5 years of related payroll coordination and administration experience, ideally in a unionized environment, with strong technical skills in various programs.

Advanced knowledge of payroll requirements, including CRA payroll rules, year-end reporting, EHT, WSIB, etc.

Knowledge of collective agreement entitlements and relevant legislation such as Employment Standards Act.

Understanding of general accounting practices including journal entries, reconciliation, and reporting.

Experience in generating reports from payroll systems (Quadrant an asset) and developing spreadsheets using payroll data.

Advanced computer skills and proficiency with Word, Excel, Outlook, etc.

Ability to work independently and manage time effectively.

Strong communication skills, both written and verbal.

Professional, courteous, and respectful in all interactions.

Supportive in responding to employee inquiries and handling sensitive information with tact and judgment.

Patience in generating reports with quick turnaround times.

Ability to establish and maintain positive working relationships with managers and staff.

Proficiency in English; additional language skills are an asset.
