Payroll/Human Resources Specialist (2-Year Contract)

Full Time Cambridge, ON, CA

Salary Range: $67,000.00 To $72,000.00 Annually

About the Role

As a member of the Corporate Human Resources team, the Payroll & Human Resources Specialist supports biweekly payroll for Canadian and U.S. employees, manages recruitment activities across the AIL Group of Companies, and contributes to a variety of corporate HR programs and initiatives.

This role is well suited to an organized and detail-oriented HR professional who enjoys balancing payroll administration, recruitment, employee communications, and continuous process improvement.

What You’ll Do
Payroll Administration (30%)
  • Assist with processing accurate and timely biweekly payroll for Canadian and U.S. employees.
  • Review and validate payroll inputs, employee information, earnings, deductions, and other payroll data.
  • Maintain accurate employee and payroll records in ADP Workforce Now.
  • Review payroll outputs, investigate discrepancies, and coordinate corrections when required.
  • Complete payroll reconciliations and prepare related journal entries.
  • Support payroll reporting and year-end activities.
  • Coordinate and administer the annual wage review process.
  • Respond to employee and manager payroll inquiries professionally and confidentially.
  • Develop subject-matter expertise in ADP Workforce Now and related HR and payroll systems.
  • Identify opportunities to improve payroll accuracy, efficiency, reporting, and system workflows.
Recruitment and Employee Lifecycle (50%)
  • Manage and continually improve full-cycle recruitment across the AIL Group of Companies.
  • Partner with hiring managers to understand staffing needs and develop effective recruitment strategies.
  • Prepare and publish job postings, review applications, coordinate interviews, and support candidate selection.
  • Maintain accurate candidate and recruitment records within the applicant tracking system.
  • Coordinate employment offers, pre-employment activities, onboarding, and offboarding processes.
  • Deliver a professional and positive experience for candidates and new employees.
  • Support employer-branding and recruitment initiatives across Canada.
  • Monitor recruitment activity and recommend improvements to hiring processes.
Human Resources Support (20%)
  • Research available funding opportunities and prepare, submit, and manage funding applications.
  • Assist with learning and development programs and other employee-development initiatives.
  • Support the development, review, and implementation of HR policies and procedures.
  • Coordinate internal employee communications, including digital displays, newsletters, and other company-wide programs.
  • Maintain accurate and confidential HR records and documentation.
  • Respond to employee and manager inquiries and direct matters to the appropriate HR team member.
  • Support additional HR programs, projects, and continuous-improvement initiatives.
  • Perform other related duties as assigned.
What You Bring
  • At least three years of relevant human resources experience.
  • A degree or diploma in human resources, business administration, payroll, or a related field.
  • Hands-on experience supporting payroll administration and processing.
  • Experience using ADP Workforce Now for payroll or HR administration is strongly preferred.
  • Experience with HR information systems and applicant tracking systems.
  • A sound understanding of general HR policies, procedures, and employment practices.
  • Knowledge of applicable employment standards and labour legislation.
  • Proficiency with Microsoft Office, including Excel, Word, Outlook, and PowerPoint.
  • Excellent written and verbal communication skills.
  • Strong attention to detail, organization, and time-management skills.
  • Sound judgment, discretion, and respect for confidential information.
  • Strong interpersonal, analytical, and problem-solving skills.
  • The ability to manage competing priorities and work effectively both independently and as part of a team.
Assets
  • Experience supporting payroll for employees in both Canada and the United States.
  • Experience completing payroll reconciliations, journal entries, reporting, or year-end activities.
  • Payroll Compliance Professional designation or payroll-related education.
  • Experience supporting recruitment across multiple provinces or business locations.

Equivalent combinations of education and relevant experience will be considered.
