Job summary

Doctors Manitoba is seeking an experienced Payroll & HR Specialist to deliver payroll administration, support HR activities, and oversee benefits across the organization.

The role requires meticulous, confidential handling of payroll data with strong knowledge of Canadian payroll laws, and collaboration within a small team to support physicians and staff.

Qualifications

  • Diploma or degree in Human Resources, Business Administration, Accounting, or related field.
  • PCP designation or working toward certification.
  • 3–5 years of payroll and HR administration experience.
  • Experience in a non-profit environment is an asset.
  • Strong knowledge of Canadian payroll legislation and CRA requirements.
  • Familiarity with Manitoba Employment Standards and HR best practices.
  • Proficiency in payroll and HRIS systems.
  • Strong attention to detail and high level of accuracy.
  • Excellent organizational and time management skills.
  • Ability to handle sensitive information with discretion and confidentiality.
  • Strong interpersonal and communication skills.
  • Ability to work independently and collaboratively in a small team.

Responsibilities

  • Process semi-monthly payroll, bi-weekly benefit payments, and monthly payroll for Board/Committee.
  • Administer benefits, RRSP contributions, deductions and accruals.
  • Prepare payroll reconciliations, journal entries and year-end reporting.
  • Ensure compliance with CRA requirements and applicable legislation.
  • Respond to payroll inquiries in a confidential and timely manner.
  • Maintain employee records, HR systems, and employment documentation.
  • Support recruitment, onboarding, and offboarding activities.
  • Coordinate employee leave tracking and HR communications.
  • Assist with performance management and records management.
  • Prepare reports for leadership and regulatory requirements.
  • Participate in special projects and continuous improvement initiatives.

Payroll &HR Specialist Responsibilities
Payroll Administration
  • Process semi-monthly employee payroll, bi-weekly member benefit program payments, and monthly Board and Committee payroll.
  • Administer employee benefits, RRSP contributions, payroll deductions, and accruals.
  • Prepare payroll reconciliations, journal entries, and year-end reporting, including T4s andT4As.
  • Ensure compliance with CRA requirements and applicable legislation.
  • Respond to payroll inquiries in aconfidential and timely manner.
Human Resources Administration
  • Maintain employee records, HR systems, and employment documentation.
  • Support recruitment, onboarding, and offboarding activities.
  • Coordinate employee leave tracking, benefits administration, and HR communications.
  • Assist with performance management processes and employee records management.
Policy, Compliance &Employee Support
  • Support compliance with employment standards and organizational policies.
  • Assist with the development and maintenance of HR policies and procedures.
  • Provide guidance on HR policies, practices, and workplace processes.
  • Maintain the confidentiality and integrity of employee information.
Benefits, Reporting &Organizational Support
  • Administer group benefits programs and liaise with service providers.
  • Support employee wellness initiatives and programs.
  • Prepare reports and documentation for leadership and regulatory requirements.
  • Participate in special projects and continuous improvement initiatives related to HR and organizational development.

This position is ideal for ahighly organized professional with strong payroll expertise, HR administration experience, excellent attention to detail, and acommitment to delivering outstanding service.

Requirements

Typical working conditions include daytime hours and occasional weekend and evening work.
