Job Title: Payroll Analyst, Canada

Location: Mississauga, Ontario, Canada (Onsite / Hybrid)

Reports To: Manager, Canada Payroll

Role Overview

We are seeking an experienced and detailed-oriented Payroll Analyst to support payroll operations across Canada. This role demands a strong understanding of Canadian payroll legislation, including federal and provincial regulations, taxation, and statutory requirements.

You will play a key role in executing accurate and timely payroll processing, ensuring compliance with CRA and provincial agencies, and partnering with internal teams on system enhancements, reporting, audits, and data integrity initiatives.

This role goes beyond payroll processing. You will serve as a strategic partner across the organization, implementing process improvements and collaborating with cross-functional teams including HR, Accounting, Tax, Legal, and external service providers. Your ability to manage recurring assignments while contributing to special projects and addressing complex developments will be essential to success.

The ideal candidate will bring strong proficiency in ADP GlobalView, advanced Excel and data analysis skills, and fluency in both English and French. You should have a proven track record of operationalizing payroll in dynamic, fast-paced environments, with Canada payroll experience. You should be highly organized, deadline-driven, and motivated to proactively support compliance, and champion continuous improvement. This position is based in Mississauga, Ontario, Canada.

Key Responsibilities
Payroll Operations
  • Process end-to-end semi-monthly payroll runs according to federal and provincial requirements.
  • Validate earnings, deductions, taxes, benefit contributions, and final pay.
  • Review payroll inputs from HRIS, Time & Attendance (Workday Time Tracking), and manual adjustments.
  • Reconcile payroll prior to submission and validate output files after processing.
System & Data Management
  • Act as a liaison between Payroll, HRIS, and IT to support system configuration, testing, and optimization.
  • Maintain accurate employee payroll data across HRIS and vendor platforms.
  • Participate in User Acceptance Testing (UAT) for system releases, enhancements, and integrations.
  • Identify automation opportunities to streamline processes and improve accuracy.
Reporting & Analytics
  • Prepare scheduled and ad hoc payroll reports, including registers, GL files, tax reports, and reconciliation documents.
  • Support HR, Finance, and Tax teams with payroll data for audits, budgeting, and planning.
  • Track payroll KPIs such as error rates, processing timeliness, and compliance performance.
Compliance & Controls
  • Ensure compliance with Canadian payroll regulations, including:
    • Canada Revenue Agency (CRA) requirements,
    • Employment Insurance (EI), Canada Pension Plan (CPP), and income tax withholdings, and
    • Provincial employment standards and wage regulations.
  • Maintain audit documentation and support year-end processing, including T4 and RL-1 preparation and validation.
  • Stay updated on legislative changes affecting payroll and implement required updates.
  • Assist with internal and external payroll audits as needed.
Required Qualifications
  • 4-7 years of Canadian payroll experience, with expertise in full-cycle payroll.
  • Fluency in both English and French (written and spoken).
  • Strong knowledge of Canadian labor laws, wage regulations, and payroll taxation.
  • Prior experience with ADP GlobalView highly preferred.
  • Advanced Excel skills (v-lookups, pivot tables).
  • High attention to detail, problem-solving ability, and confidentiality.
  • Ability to thrive in a fast-paced, high-growth environment.
  • Strong communication and collaboration skills.
  • Ability to handle confidential information with discretion.

Compensation And Benefits

The typical base pay range for this role is $57,250 to $78,750 CAD annually. Pay within this range will be based on the review of experience, skills, and internal equity.

As a full time, employee of HP Canada, you will be eligible to participate in the company's group benefit programs, including medical, dental, life insurance, and disability coverage, subject to the terms and conditions of the applicable plans. During your employment term, you will receive 15 paid vacation days per year prorated based on your start date. Detailed information regarding benefits—will be provided upon hire and is subject to the terms and conditions of the applicable plans.
