Job summary

SFS Group Canada is seeking a dependable Payroll, Accounting & Office Administrator on a temporary maternity leave basis. The role covers payroll processing, accounts payable/receivable, cash management, and general office duties to keep financial records accurate and up-to-date.

The ideal candidate has a Bachelor’s degree in a related field and 3–5 years of experience in accounting or administration, with strong attention to detail and confidentiality.

  • Bachelor’s degree in Accounting, Business Administration, Finance, Human Resources, or related field or equivalent experience.
  • 3-5 years experience in Accounting, Admin, Finance, HR, or related field; distribution/manufacturing experience preferred.
  • Experience with payroll processing and timekeeping systems preferred.
  • Strong attention to detail and accuracy; excellent organizational and time-management skills.

Responsibilities

  • Manage customer accounts and maintain target Days Sales Outstanding (DSO).
  • Prepare and distribute customer statements; follow up on overdue accounts by phone and email.
  • Investigate and resolve billing discrepancies and payment issues; process credit applications and analyze new customers.
  • Post daily cash receipts; reconcile cash transactions and accounts; prepare cash reports.
  • Code and enter vendor invoices to GL; process vendor payments; reconcile vendor statements.
  • Administer payroll and maintain payroll records; process onboarding, terminations, and changes.
  • Respond to payroll inquiries; ensure compliance with payroll legislation and company policies.
  • Assist with month-end and year-end closing; prepare reconciliations and schedules.
  • Collaborate with US-Wyo office on month-end reporting; support audits and documentation.
  • Provide administrative support to sales and management; coordinate office supplies and records management.

Payroll, Accounting & Office Administrator (Temporary Maternity Leave Position)

SFS Group Canada is looking for a dependable, detail-oriented organized individual to join our team in a temporary position covering maternity leave.

The Payroll, Accounting & Office Administrator is responsible for payroll administration, accounts receivable, accounts payable, cash management, bookkeeping, month-end and year-end activities, and general office administration. This position provides professional support to internal and external customers while ensuring financial, payroll, and administrative records are accurate, complete, and up to date.

SFS Group Canada is a building-Nvelope fastening specialist and part of the global SFS Group. We develop and supply fastening solutions for roofs, wall, doors and windows, supported by deep technical expertise and long history of innovation in mechanical fastening systems.

Responsibilities
  • Manage customer accounts customer accounts and maintain target Days Sales Outstanding (DSO).
  • Prepare and distribute customer statements.
  • Follow up on overdue accounts by phone and email.
  • Investigate and resolve customer billing discrepancies and payment issues.
  • Process credit applications and perform credit analysis for new customers.
  • Maintain accurate customer account records and collection notes.
  • Post daily cash receipts and customer payments accurately.
  • Reconcile daily cash transactions and ensure accounts balance.
  • Investigate and resolve discrepancies in cash postings and account balances.
  • Prepare cash reports as required by management.
  • Review, code, and enter vendor invoices to the appropriate General Ledger (GL) accounts.
  • Process vendor payments in accordance with company policies and payment terms.
  • Reconcile vendor statements and resolve outstanding issues.
  • Maintain accurate accounts payable records and filing systems.
  • Administer all aspects of payroll, ensuring accurate and timely processing.
  • Maintain employee payroll and personnel records.
  • Process employee onboarding, terminations, and payroll changes.
  • Assist employees with payroll-related inquiries.
  • Ensure compliance with payroll legislation and company policies.
  • Assist with month-end and year-end closing activities.
  • Prepare account reconciliations and supporting schedules.
  • Investigate and resolve bookkeeping errors and discrepancies.
  • Collaborate with the US-Wyo office on month-end reporting requirements.
  • Support audit requests and year-end documentation preparation.
  • Answer and direct incoming phone calls in a professional manner.
  • Respond to customer and vendor inquiries by phone and email.
  • Maintain organized electronic and paper filing systems.
  • Assist sales personnel and management with administrative support as required.
  • Coordinate office supplies, records management, and general administrative functions.
  • Ensure all financial, payroll, and HR records are accurate, complete, and up to date.
  • Maintain confidentiality of employee, customer, and company information.
  • Assist with special projects and other duties as assigned by the General Manager.
  • Provide exceptional service to internal and external customers.
The Ideal Candidate
  • Bachelor’s degree in Accounting, Business Administration, Finance, Human Resources, or a related field. Equivalent payroll, accounting, or administrative experience will be considered.
  • 3-5 years of experience in Accounting, Business Administration, Finance, Human Resources, Office Administration/ Administrative Service. distribution or manufacturing experience is preferred.
  • Previous payroll, accounting, or office administration experience required.
  • Experience with payroll processing and timekeeping systems is preferred.
  • Strong attention to detail and accuracy.
  • Excellent organizational and time-management skills.
  • Strong written and verbal communication skills.
  • Ability to maintain confidentiality and handle sensitive information.
  • Payroll processing experience.
  • Basic knowledge of accounting principles.
  • Experience working in a manufacturing or business environment.
