Position: Junior Accountant
Location: SAAAC Autism Centre, 705 Progress Ave, Toronto, ON
Reporting to: Senior Financial Accountant
Type: Part Time - 22.5 hours a week
Salary: $25/hour
Invoicing & Managing A/R:
- Ensure accurate and timely invoicing to customers
- Collaborate with clinical supervisors to ensure invoicing follows OAP guidelines
- Maintain accurate records and documentation of invoicing and collection activities
- Monitor accounts receivable aging and follow up on overdue accounts – weekly
- Prepare A/R reports and provide reports to departments to follow up
- Investigate and resolve billing discrepancies or disputes using our client data base software - Penelope
- Process payments in person & set up clients for automatic billing
Payments & Managing A/P:
- Maintain organized records and documentation of transactions
- Prepare A/P report weekly for manager to make payments
- Process Amazon purchases made by senior managers while following company guidelines
Accounting
- Maintain accurate and up-to-date financial records by performing weekly bank and Visa statement reconciliations, ensuring all transactions are properly recorded and discrepancies are promptly addressed
- Prepare and post journal entries, ensuring proper documentation and accuracy.
- Creating Reports from client database software to support senior management in decision making
- Maintain and reconcile general ledger accounts.
Skills
- Basic Accounting Knowledge:
- Understanding of double-entry bookkeeping, debits, credits, and reconciliations.
- Familiarity with financial statements (e.g., income statement, balance sheet).
- Software Proficiency:
- Experience with accounting software like QuickBooks, Xero, or Sage is a plus
- Beginner/Intermediate Microsoft Excel skills
- Data Entry Accuracy:
- Ability to input financial data with speed and precision.
- Awareness of common errors and how to troubleshoot them.
- Reconciliation and Reporting:
- Familiarity with reconciling bank accounts is a plus
Soft Skills
- Organization and Time Management:
- Ability to prioritize tasks and meet deadlines during busy periods like month-end close.
- Keeping financial records well-organized for audits or reviews.
- Communication:
- Clear communication with colleagues, vendors, or clients.
- Willingness to learn new systems and adapt to changes in procedures.
- In-Depth training of Quickbooks Online and all of its features
- Use of Excel for financial data management (e.g., formulas, pivot tables, and data analysis).
- Recording daily transactions (e.g., sales, purchases, payroll) in a professional setting
- Bank and credit card reconciliation practices
- Handling accounts payable (AP) and accounts receivable (AR)
- Learning Processes regarding creating and reviewing invoices, expense reports, and other financial documents.
- Fundamentals on financial statement analysis (e.g., balance sheet, income statement)
- Identifying and correcting discrepancies in financial data.
Qualifications
Education & Experience
- Post-secondary education in Accounting, Finance, or a related field (or currently enrolled in an accounting program).
- Minimum 1 year of experience in a similar accounting, bookkeeping, or administrative finance role preferred.
- Experience working in a non-profit or healthcare setting is considered an asset.
- Foundational knowledge of accounting principles, including double-entry bookkeeping.
- Proficiency in Microsoft Excel (e.g., formulas, basic pivot tables).
- Familiarity with accounting software such as QuickBooks Online, Xero, or Sage is an asset.
- Experience using client database systems (e.g., Penelope) is a plus.
- Understanding of accounts receivable (A/R), accounts payable (A/P), and basic reconciliation practices.
Organizational & Interpersonal Skills
- Strong attention to detail and accuracy in data entry and record-keeping.
- Excellent organizational and time management skills; able to manage competing priorities.
- Strong problem-solving skills with the ability to identify and resolve discrepancies independently.
- Clear and professional communication skills, both written and verbal.
- Comfortable working collaboratively with multidisciplinary teams, including clinical and administrative staff.
- Demonstrated ability to maintain confidentiality and handle sensitive financial data with discretion.
Other Requirements
- Ability to work on-site
- Availability for 25 hours per week with flexibility during peak reporting periods.
- Must be legally eligible to work in Canada.
