Overview

Night Administrative Coordinator in Nova Scotia

Are you a strong Administrator who enjoys working in fast paced environments? Do you perhaps come from the transportation industry or would be interested in learning more about it? Are you looking for a positive work environment with lots of opportunities for growth? If so, we want to hear from you.

We are looking for an Administrative Coordinator to work for a National transportation company. In this role you will be responsible for daily communication with the drivers, customers and internal departments. You will also be responsible for data entry into their internal system and extracting various reports to ensure accurate invoicing. The ideal candidate will be a team player, have the ability to multitask, prioritize effectively and possess strong communication skills.

Salary: Hourly wage of $19.50

Schedule: Sunday - Thursday; 10pm - 6am

Contract: Ongoing contract with possibility of permanency

Location: Parking onsite, 5 days/week at the office, Dartmouth - Nova Scotia

Start date: As soon as possible

Responsibilities
  • Admin OS & D Specialist
  • Investigating and Resolving OS&D Issues: The OS&D specialist will be responsible for identifying the root cause of OS&D incidents and implementing corrective actions. This may involve reviewing shipping documents, inspecting freight, and contacting relevant parties to gather information.
  • Maintaining Records and Documentation: Meticulously tracks and records all OS&D incidents, ensuring accurate documentation for future reference and claims processing.
  • Customer Communication and Support: The OS&D Specialist will communicate with customers to inform them about the status of their shipments and provide guidance on filing claims.
  • Collaboration and Coordination: They will work closely with various teams, including Menkes staff, to resolve OS&D issues and improve overall operational efficiency.
  • Preventing Future Incidents: By analyzing the causes of OS&D, they contribute to the development and implementation of preventative measures to minimize future occurrences.
  • Following Established Procedures: They will adhere to established freight flow and OS&D procedures to ensure compliance and maintain quality standards.
  • Escalating Issues: They will escalate unresolved issues or non-compliance matters to management.
  • Utilizing Logistics Systems: OS&D Specialist must be highly proficient in utilizing AS400, Truckmate and Microsoft Office Suite programs to manage their tasks.
  • Specific Skills: Strong organizational, problem-solving, and communication skills is a must.
Qualifications
  • 1-2 years of experience in a customer service or administration position
  • Experience within the transport industry would be considered an asset
  • Good English communication skills, both written and verbal
  • Computer skills – MS products and ability to learn new software with ease
  • Truckmate software knowledge is an asset
  • Demonstrated customer relationship skills
  • Strong conflict resolution skills and ability to work in fast paced environments
