Job summary

Environmental 360 Solutions Ltd. in Cobourg is seeking an organized, detail-oriented Operations Coordinator to support daily operations of our oil reclamation and manufacturing facility.

You will coordinate customer orders, production, inventory, logistics, purchasing, shipping, and regulatory reporting across multiple ERP systems and operational software, ensuring accuracy and timely delivery in a fast-paced environment.

Qualifications

Responsibilities

  • Process customer orders, quotations, returns, price confirmations, and invoices using multiple ERP systems.
  • Verify inventory availability through IMS and maintain accurate inventory balances using perpetual inventory spreadsheets.
  • Prepare production batch sheets and complete inventory transactions to support manufacturing operations.
  • Coordinate inbound and outbound logistics, including customer pickups, deliveries, and truck scheduling.
  • Prepare shipping documentation, packing slips, bills of lading, and driver paperwork.
  • Purchase raw materials, obtain supplier quotations, and coordinate material availability with production schedules.
  • Record and maintain sales KPI reporting using Excel and Google Workspace.
  • Assist with Ministry of Environment reporting by maintaining accurate operational and volume tracking records.
  • Coordinate service schedules for U.S.-based customers and prepare customs and border-crossing documentation for cross-border shipments.
  • Respond to customer inquiries and provide supporting documentation, including insurance certificates and service information.
  • Provide general operational and administrative support while ensuring accurate data is maintained across multiple business systems.

Position Description

E360S' Cobourg Division is seeking a highly organized, detail-oriented Operations Coordinator to support the daily operations of our oil reclamation and manufacturing facility.

This position plays a critical role in coordinating customer orders, production, inventory, logistics, purchasing, shipping, and regulatory reporting while working across multiple ERP systems and operational software platforms.

Key Responsibilities:
  • Process customer orders, quotations, returns, price confirmations, and invoices using multiple ERP systems.
  • Verify inventory availability through IMS and maintain accurate inventory balances using perpetual inventory spreadsheets.

Qualifications

The ideal candidate will possess:

  • Advanced proficiency in Microsoft Excel and Microsoft Office.
  • Experience working with ERP systems (required).
  • Strong analytical and problem-solving abilities.

  • Ability to manage multiple priorities while meeting deadlines.
  • Strong communication and customer service skills.
  • Ability to learn and navigate multiple software platforms quickly.
  • High level of accuracy in data entry and record management.
  • Preference will be given to candidates with experience in:
  • Manufacturing or industrial operations
  • Logistics, dispatching, or transportation coordination
  • Inventory control and perpetual inventory systems
  • Purchasing and supplier management
  • Customs documentation and cross-border shipping
  • KPI reporting and operational analytics
    Maintain operational records, including:
    • Chemtainer tracking (MS Works)
    • Manifest Pickups
    • Exempt Manifest Pickups (RPRA)
    • Fuel Tracking
    • IFTA mileage reporting

    Experience with the following systems is considered an asset:

    • Sage ERP and Navusoft ERP
    • Proprietary Pickup Management System
    • IMS Inventory System
    • Microsoft Excel (advanced) and Google Workplace
    • RPRA Manifest Tracking
    • Ministry of Environment reporting systems
    • IFTA Mileage Tracking and Fuel Tracking System
