Job summary

The Moose Jaw Fire Department is seeking a highly organized, professional, and trusted individual to serve as Office Manager. Reporting to the Fire Chief, the Office Manager provides key administrative, financial, human resource, and operational support to the Department.

Qualifications

  • Diploma in Office Administration or related field.
  • 3+ years of progressively responsible administrative or office management experience.
  • Proficiency with payroll, budgeting, confidential records management and policy interpretation.

Responsibilities

  • Coordinate payroll, attendance tracking, vacation and leave records.
  • Assist with departmental budgets, business planning, and financial administration.
  • Prepare confidential correspondence, reports, and departmental records.
  • Support administration of policies, procedures, and collective agreement provisions.
  • Coordinate management and labour-management meetings, agendas, minutes, and records.
  • Assist with emergency management and emergency social services planning activities.
  • Review incident reports and maintain departmental records systems.
  • Coordinate office procurement, travel arrangements, and administrative assets.
  • Provide customer service and reception support at Fire Headquarters.
  • Support office security, workplace safety, and other departmental administrative functions.
  • Participate as a member of the Fire Department Management Team.
  • Any duties as assigned by the Fire Chief or the Chief's designate.

Reporting to the Fire Chief, the Office Manager provides key administrative, financial, human resource, and operational support to the Department. As a member of the Fire Department Management Team, this position plays a vital role in supporting emergency services through effective payroll administration, budget coordination, records management, meeting coordination, emergency management support, and confidential executive assistance.

KEY RESPONSIBILITIES
  • Coordinate payroll, attendance tracking, vacation and leave records.
  • Assist with departmental budgets, business planning, and financial administration.
  • Prepare confidential correspondence, reports, and departmental records.
  • Support administration of policies, procedures, and collective agreement provisions.
  • Coordinate management and labour-management meetings, agendas, minutes, and records.
  • Assist with emergency management and emergency social services planning activities.
  • Review incident reports and maintain departmental records systems.
  • Coordinate office procurement, travel arrangements, and administrative assets.
  • Provide customer service and reception support at Fire Headquarters.

QUALIFICATIONS
  • Diploma in Office Administration, Business Administration, or a related field.
  • 3+ years of progressively responsible administrative or office management experience (Municipal, emergency services, or unionized environment experience is considered an asset)
  • Demonstrated proficiency with payroll, budgeting, confidential records management and ability to interpret policy, procedure and collective agreements.
  • Advanced Microsoft Office skills.
  • Ability to manage multiple complex priorities independently.
  • Excellent verbal and written communication skills with strong discretion and attention to detail.
  • Valid Saskatchewan Class 5 Driver's Licence.
  • Equivalent combinations of education and experience may be considered.
