As we enter our next stage of growth, we are looking for an experienced Office Manager to take ownership of the day-to-day management of our office and administrative functions.
This is an important leadership position within Binners.
We are looking for a mature, confident and highly organized Office Manager who knows how to run an office, manage administrative employees, deal professionally with customers and keep people accountable.
This is not an entry-level administrative position.
We want someone with significant professional experience who is comfortable taking ownership, making decisions and following through without requiring constant direction from the owners.
The right person will have the energy to work in a fast-moving construction environment combined with the experience and judgment to command respect from employees, customers and suppliers.
You will work closely with Binners' CEO and COO and become the primary person responsible for ensuring that the administrative side of the company runs effectively.
Take ownership of the day-to-day operation of the Binners office.
Manage and support administrative employees and ensure responsibilities, deadlines and recurring tasks are completed.
Establish clear administrative processes, responsibilities and accountability.
Identify administrative problems before they reach ownership and take responsibility for getting them resolved.
Maintain an organized, professional and productive office environment.
Create and maintain company procedures, checklists and SOPs.
Coordinate communication between Sales, Operations, Accounting and Administration.
Provide day-to-day leadership to office and administrative employees.
Set expectations and follow up to ensure commitments are completed.
Address performance or accountability issues professionally and directly.
Help establish stronger routines, processes and standards across the office.
Be comfortable having difficult conversations when necessary.
Become someone employees can go to for answers and direction rather than escalating routine issues to ownership.
Handle escalated customer situations professionally and confidently.
Communicate with customers regarding administrative, billing, documentation or service issues when required.
Be comfortable speaking with project managers, contractors, suppliers and senior customer contacts.
Protect Binners' relationships while also protecting the company's interests.
Ensure important customer issues receive proper follow-up and do not fall through the cracks.
Support the company's billing and collections processes.
Ensure overdue accounts receive appropriate follow-up and escalation.
Monitor administrative controls including customer documentation, credit information, purchase orders and required approvals.
Work with the accounting and collections team to ensure issues are identified early.
Escalate significant financial or customer risks to ownership.
Coordinate employee onboarding and offboarding.
Maintain employee documentation and administrative records.
Assist management with hiring coordination, interviews and employment documentation.
Manage vacation requests, office schedules and other administrative HR responsibilities.
Help maintain a professional and accountable workplace culture.
The Office Manager's ultimate responsibility is to create leverage for the owners and senior management team.
You should constantly be asking:
"What is currently being handled by the owners that should be handled by me or the administrative team?"
You will help take administrative responsibilities, follow-ups and day-to-day problem solving away from senior management so they can focus on customers, operations, strategy and growing the company.
We are looking for someone who has:
Experience in construction, contracting, waste management, logistics, equipment rental or another operational service business would be considered a significant asset.
This position requires a particular type of person.

Important tasks don't fall through the cracks.
The CEO and COO spend materially less time managing administrative issues.
