Job summary

Northland Properties Corporation is seeking an Office Coordinator at our Support Centre in Vancouver, BC. This full-time role supports office services, facilities, and visitor handling, while ensuring a welcoming and organized workplace.

The successful candidate will be proactive, organized, and service-oriented, managing multiple priorities and owning day-to-day responsibilities within a dynamic hospitality-focused environment.

Qualifications

  • Previous experience in office administration, office coordination, reception or a similar role.
  • Strong organizational skills and ability to manage multiple priorities.
  • Excellent communication and interpersonal skills.
  • Professional, approachable and service-oriented attitude.
  • Proficiency in Microsoft Office, including Outlook, Word and Excel.

Responsibilities

  • Coordinate day-to-day office operations and administrative activities.
  • Maintain and support office procedures, records and administrative processes.
  • Manage office and kitchen supplies, including inventory, ordering and distribution.
  • Support new employee onboarding by coordinating workspace and office setup.
  • Coordinate office equipment maintenance, troubleshooting and repairs.
  • Track office-related expenses, maintain records and assist with budget monitoring and reporting.
  • Prepare and update correspondence, reports, meeting materials and other documents using Microsoft Office.
  • Identify opportunities to improve office processes, organization and efficiency.
  • Provide general administrative support to teams as required.
  • Act as a central point of contact for office and facility-related requests.
  • Coordinate maintenance requests with internal teams, building management and external vendors.
  • Liaise with suppliers and service providers and follow up on outstanding requests.
  • Coordinate office services, equipment and workplace requirements.
  • Support the organization and maintenance of shared office spaces, boardrooms and kitchen areas.
  • Assist with the planning and coordination of company events and meetings.
  • Coordinate boardroom setups and meeting requirements.
  • Help maintain an organized, professional and welcoming workplace environment.
  • Welcome and assist visitors, clients and vendors in a professional and friendly manner.
  • Manage incoming calls and direct inquiries appropriately.
  • Coordinate incoming and outgoing mail, couriers, packages and deliveries.
  • Maintain visitor records and support office security and access procedures.
  • Ensure the reception area remains professional, organized and welcoming.

Office Coordinator

The Office Coordinator is responsible for coordinating day-to-day office operations and administrative processes to ensure an organized, efficient and welcoming workplace. This role supports office services, facilities, vendors, supplies, equipment and employee needs while also providing reception and visitor support.

We are looking for a proactive, organized and service-oriented individual who enjoys being the go-to person for the office, can manage multiple priorities and takes ownership of keeping the workplace running smoothly.

Duties And Responsibilities

Office Operations & Administration

  • Coordinate day-to-day office operations and administrative activities.
  • Maintain and support office procedures, records and administrative processes.
  • Manage office and kitchen supplies, including inventory, ordering and distribution.
