Detailed Overview

Reporting to the Manager or designate, performs a variety of administrative support functions for the assigned program area, including providing input into program development and evaluation, processing contracts, monitoring expenditures, and supervising support staff. Responsibilities also include participating in performance management, recruitment, attendance management, discipline, and training, as well as liaising with internal and external stakeholders.

Responsibilities
  • Supervises staff, assigns work, monitors performance, and participates in appraisals and training.
  • Performs payroll functions, maintains attendance records, reviews timesheets, and handles employee inquiries.
  • Manages staff schedules, monitors leaves, and resolves staffing issues.
  • Assists in recruitment, reviews applications, and participates in interviews.
  • Prepares purchase orders, tracks invoices, maintains petty cash, and verifies financial transactions.
  • Provides financial reports related to program and supply costs.
  • Supports contract processing, tracks progress, and maintains related documentation.
  • Develops and maintains record-keeping systems, manages schedules, and coordinates meetings.
  • Performs word processing, compiles reports, and proofreads documents.
  • Contributes to process improvements and provides guidance on administrative policies.
  • Ensures facility maintenance, manages security, and liaises with technical support.
  • Handles FOI requests, responds to inquiries, and participates in meetings or committees.
  • Performs duties related to First Aid Attendant certification as required.
  • Performs other related duties as assigned.
Qualifications
Education and Experience

Grade 12, completion of an Administrative Assistant Program, and 3 years of recent related experience, including 1 year of supervisory experience, or an equivalent combination of education, training, and experience. Valid BC Driver’s License and access to a personal vehicle.
