Medix College/North American Trade Schools is seeking an Office Administrator to join our Brampton Campus. In this dynamic role, you will have an immediate impact on people and embody our Core Values daily by providing support to students, graduates, and staff.

Position Summary

The Administrative Assistant provides secretarial, clerical, and administrative support to ensure effective service delivery. Exceptional Customer Service skills are essential as this role interacts daily with students and staff.

Essential Functions
  1. Provide administrative support to all departments
  2. Answer phone calls and take messages
  3. Handle inquiries
  4. Manage administrative supplies and stock
  5. Maintain records within the college’s CRM
  6. Write verification letters
  7. Order books
  8. Assist with police checks and immunizations
  9. Assist with new student orientation
  10. Process payments from students and visitors
  11. Maintain communication across departments
  12. Work professionally within a team
  13. Perform other duties as assigned by the Campus Director
  14. Ensure respect and non-discrimination towards all staff and students
  15. Create and organize lesson plans and workspaces
  16. Manage student conflicts through behavioral observation and early intervention
  17. Update students and academic services with news and content
  18. Coordinate employer visits, field trips, and guest speakers
  19. Engage with alumni to support Career Services
  20. Assist students requiring accommodations
  21. Pursue ongoing professional development
  22. Perform other duties as assigned by the Campus Director
Position Requirements
  1. High School Diploma or GED required
  2. Proficiency with database applications and Microsoft Office
  3. Knowledge of Private Career Colleges preferred
Working Conditions and Physical Effort
  1. Manual Skills: Significant manual tasks involving typing and handwriting
  2. Physical Effort: Some tasks involve standing, lifting, or moving heavy materials
  3. Physical Environment: Exposure to dirt, noise, odors, and weather extremes possible
  4. Work Schedule: Varies including day, evening, holiday, or weekend shifts
