Responsibilities

• Support British Columbia hours 11:00 am EST to 7:00 pm EST.
• Ensure mortgage files are complete and organized.
• Verify all required mortgage/client information for accuracy.
• Review documentation for compliance with conditions and policies.
• Follow up with mortgage brokers for outstanding conditions.
• Conduct regular follow-ups to collect documentation per the mortgage commitment.
• Instruct lawyers and review closing documents to meet Vault’s regulations.
• Coordinate with Vault Lawyer to confirm closing conditions are met.
• Identify escalation items and resolve with Underwriter or Manager.
• Develop and maintain relationships with Underwriters, Business Development and Lawyers.
• Stay informed on underwriting policies, procedures, and products.
• Provide timely responses to Mortgage Brokers and partners.

Vault is a non-bank private mortgage lending company. We have a progressive, friendly work
environment and a culture of growth. We are looking for a hard-working Mortgage Fulfillment Officer
to join our dynamic team in the Toronto office to support the funding of British Columbia mortgages.

The Mortgage Fulfillment Officer is responsible for maintaining and updating mortgage files from the commitment signed stage to when the loan is funded. You will work closely with the British Columbia Underwriters and Business Development to review mortgage applications, verify that file data is complete, conditions are fulfilled, and meet targets while adhering to service standards and providing outstanding personalized service. You will work in a fun, fast-paced professional environment where being detail-oriented with solid time management skills is critical.

Duties and Responsibilities

• Supporting British Columbia hours 11:00 am EST to 7:00 pm EST
• Ensure mortgage files are complete and organized
• Verifying/validating all required mortgage/client information for accuracy
• Review documentation for compliance with file-specific conditions and company policies and following
• up with mortgage brokers for outstanding conditions.
• Applying outstanding pipeline management skills to assigned applications by conducting regular
• follow-ups with mortgage brokers and partners to collect outstanding documentation as outlined in
• the mortgage commitment
• Instruct lawyers and review legal documentation to ensure loan documentation is following Vault’s credit and underwriting regulations.
• Follow up with Vault Lawyer to obtain confirmation closing conditions are met and the mortgage closed
• Identify escalation items and work with the Underwriter or Manager to resolve them.
• A commitment to providing outstanding personalized service.
• Develop and maintain strong working relationships with Underwriters, Business Development and Lawyers to ensure smooth and efficient closing of your files.
• Maintaining knowledge of applicable mortgage underwriting policies, procedures, and products
• Providing timely and accurate responses to Mortgage Brokers and partners
• A commitment to providing outstanding personalized service
