Job summary

REHOBOTH MEDICAL CLINIC in Steinbach, MB is seeking a dedicated Medical Office Assistant to support a patient-centred, multidisciplinary practice. You will manage scheduling, maintain accurate EMR records, and assist with billing to ensure efficient clinic operations.

Qualifications

Responsibilities

  • Prepare patient charts for visits and ensure documentation is complete.
  • Assist with physician billing per Manitoba Health requirements.
  • Process referrals, lab requisitions, and prescription renewals.
  • Provide front-desk service with professionalism and empathy.
  • Coordinate communication among patients, physicians, nurses and staff.
  • Maintain clinic supply inventories and manage mail.
  • Support the Practice Manager with admin tasks and special projects.
  • Uphold privacy regulations (PIPEDA/PHIA) and patient confidentiality.

Summary

The Medical Office Assistant (MOA) at Rehoboth Medical Clinic plays a vital role in supporting the seamless operation of a patient‑centred, multidisciplinary healthcare practice. Reporting to the Practice Manager, this position ensures efficient administrative and clinical workflows while delivering compassionate, high‑quality care to patients across the Steinbach community and surrounding areas. By maintaining accurate records, managing scheduling, supporting billing processes, and contributing to a positive patient experience, the MOA helps uphold the clinic’s mission of accessible, reliable, and holistic healthcare. Responsibilities
  • Manage patient appointments, including scheduling, rescheduling, and confirming visits across multiple providers.
  • Maintain accurate and confidential patient records using LibreMD EMR or equivalent Canadian EMR systems.
  • Prepare patient charts for clinical visits, ensuring all documentation is complete and up to date.
  • Assist with physician billing processes in compliance with Manitoba Health requirements.
  • Process patient referrals, lab requisitions, and prescription renewals efficiently and accurately.
  • Provide exceptional front‑desk service, greeting patients warmly and addressing inquiries with professionalism and empathy.
  • Coordinate communication between patients, physicians, nurses, and allied healthcare providers.
  • Maintain clinic supply inventories and manage incoming correspondence and mail.
  • Support the Practice Manager with administrative tasks, reporting, and special projects as needed.
  • Adhere to all privacy regulations, including PIPEDA and PHIA, ensuring patient confidentiality at all times.
Requirements
  • Minimum 3 years of experience as a Medical Office Assistant in a medical clinic setting.
  • Valid Medical Office Assistant Certificate or equivalent formal training.
  • Proven experience using LibreMD EMR or another Canadian EMR system.
  • Familiarity with Manitoba Health physician billing procedures is an asset.
  • Strong organizational and time management skills with the ability to multitask in a fast‑paced environment.
  • Excellent communication, interpersonal, and customer service skills.
  • Proficient in Microsoft Office Suite and electronic documentation systems.
