Qualifications

Job description

A Dynamic and well-established Medical Specialist clinic that provides Medical (Obstetrics and Gynecology) and Aesthetic care in Richmond Hill is seeking a highly motivated, skilled, engaging and compassionate professional to fill a full-time Medical Administrator position who can manage the clinic daily.

Our office provides high-quality, personalized, patient-centered care in a warm, respectful and welcoming environment.

The successful applicant will be responsible for all aspects of the daily functioning of the office. This includes, but is not limited to:

  1. Greet and assist visitors, patients, and staff in a friendly and professional manner
  2. Creating and managing complex schedules for clinic and surgery bookings
  3. Answering telephones, text lines and emails and managing faxes
  4. Booking patients' appointments and referrals in a timely manner; ensuring that accurate information is recorded with respect for patients' and individuals' confidentiality
  5. Schedule appointments and maintain calendars for multiple providers
  6. Preparing OR package and booking online for all operations in a timely manner
  7. Responsible for preparing physician(s)’ day-sheet and ensuring that patient's relevant investigations and results are uploaded into the patient’s EMR chart
  8. Prioritizing patients’ referrals
  9. Carrying out general receptionist duties in a professional manner; providing excellent reception to the patients and other clients and respecting individuals' confidentiality
  10. Carrying out photocopying, faxing and other general office administrative duties
  11. Checking-in patients and validating OHIP cards
  12. Assessing and documenting patient blood pressure, weight
  13. Taking the patient’s history and data entry
  14. Coordinating specialist referrals and diagnostic testing
  15. Performing OHIP billing and reconciliation if requested
  16. Ordering supplies and maintaining office inventory
  17. Cleaning, packaging and autoclaving instruments
  18. Cleaning and stocking patient exam rooms
  19. Assistance during the minor procedures that will be performed in the office
  20. Being able to work on the occasional weekends when the clinic’s load demands

We are looking for a dedicated individual who has:

  3. Exceptional organizational and multitasking skills under pressure
  4. Experience working independently, and triaging urgent matters
  5. Experience in managing crisis and teamwork
  6. The motivation to advocate for patients in need
  7. Strong computer skills and experience with Accuro EMR, EPIC, Word, pdf, Google suite (Docs, Sheets, Slides) or similar software (an asset)
  8. Previous medical office experience (OB/Gyn experience preferred)
  9. Knowledge of medical terminology (an asset)
  10. Fluency in writing, speaking, and reading English as an absolute requirement to ensure the highest standard of care and service
  11. Multilingual abilities to provide even more comprehensive support to our diverse patients’ population

Working days: 4-5 days per week, Mon - Sat
