Job summary

Airswift seeks a Materials & Logistics Coordinator to support an O&G project in Calgary or Fort Saskatchewan, AB on a 1-year contract. You will ensure complete logistics data for POs, coordinate shipping readiness, and align with engineers, procurement, and vendors to deliver materials safely and on schedule.

Responsibilities include reviewing POs for shipping readiness, managing OS&D sign-offs, and coordinating with transport providers to avoid delays.

Qualifications

• Experience reviewing POs to ensure complete logistics and shipping information.
• Ability to coordinate shipping readiness and documentation.
• Experience expediting materials and aligning with vendors and transport providers.
• Familiarity with OS&D sign-offs and material release documentation.

Responsibilities

• Procurement Review & Data Integrity: verify logistics details on POs are complete and accurate.
• Meetings & Coordination: participate in logistics strategy discussions and align priorities.
• Shipping Coordination (Free-Issue Materials): manage shipping releases, obtain required docs, and file records.
• Expediting Alignment & Material Planning: work with expeditors to ensure material readiness and mitigation planning.
• Stakeholder Liaison: coordinate between engineering/provider, transport, and general contractor for inbound materials.
• Vendor & Site Oversight: attend vendor facilities during loading and oversee on-site offloading when needed.

Job description

We're seeking a Materials & Logistics Coordinator to work with one of our O&G clients in Calgary or Fort Saskatchewan, AB on a 1-year contract,

Role Purpose:

The Materials & Logistics Coordinator is responsible for ensuring the completeness, coordination, and execution of all logistics activities related to materials. This role provides oversight across procurement data quality, expediting alignment, vendor coordination, and transport execution to ensure materials are delivered safely, compliantly, and in line with project schedules.

Key Responsibilities:

• Procurement Review & Data Integrity
  • Conduct detailed reviews of Engineering & Procurement provider purchase orders (POs) to ensure all required logistics and shipping information is complete and accurate.
  • Follow up on missing or incomplete information required to support shipping readiness.
• Meetings & Coordination
  • Actively participate in RAIL meetings, contributing updates, resolving issues, and aligning on logistics strategy and priorities.
• Shipping Coordination (Free-Issue Materials)
  • Managing and coordinating all shipping activities for free-issue materials, including:
  • Obtaining and managing shipping release approvals.
  • Requesting outstanding vendor documentation and information required prior to shipment.
  • Coordinating Over, Short & Damaged (OS&D) sign-offs.
  • Ensuring material release documentation is completed, signed off, and properly filed.
  • Receiving MRR from General Contractor, receiving into Maximo and forwarding to Engineering & Procurement provider for receiving into Mat man Any OS&D’s need to be closed out prior to receiving
• Expediting Alignment & Material Planning
  • Coordinate and align closely with Engineering & Procurement provider expeditors to ensure material readiness supports project needs, including:
  • Coordinating inputs within the Material Allocation Report.
  • Managing early material readiness by developing mitigation plans (e.g., vendor storage, off-site storage, coordination with General Contractor, or delayed shipping strategies).
• Stakeholder Liaison (Engineering & Procurement provider, Transport, General Contractor)
  • Serve as the primary liaison between Engineering & Procurement provider, transport providers, and General Contractor for all incoming free-issue materials.
  • Coordinate maintenance of Material Allocation Report details for communication and planning with General Contractor.
  • Collaborate with General Contractor to identify and resolve schedule conflicts between required-on-site dates and vendor/ Engineering & Procurement provider shipment readiness.
• Vendor & Site Oversight (As Required)
  • As required, attend vendor facilities during loading to verify:
  • Proper loading practices
  • Completeness and accuracy of shipping documentation
  • As required, provide on-site oversight during offloading of all heavy haul and over-dimension (OD) shipments to ensure safe and compliant delivery.
