POSITION OVERVIEW

The Materials Coordinator is responsible for monitoring the flow of materials within the company. This role involves coordinating with suppliers, tracking shipments, maintaining accurate inventory records, and supporting production or project teams by ensuring materials are available when needed. Expedite orders as required by the Sr Manager of Procurement and Logistics.

STRUCTURE

This position will report to the Senior Manager, Procurement and Logistics.

SPECIFIC ACCOUNTABILITY

  • Monitor and track all incoming and outgoing shipments to ensure on-time delivery and smooth flow of materials.
  • Coordinate with warehouse staff and carriers to ensure timely and accurate distribution of materials to designated fabricators.
  • Track and document materials crossing the border enroute to fabricators, ensuring customs compliance and timely updates.
  • Maintain and update accurate inventory records in the system to reflect real-time stock levels.
  • Conduct scheduled inventory audits to verify material usage and reconcile any discrepancies.
  • Generate and analyze stock movement reports to identify trends, ensure optimal stock levels, and prevent shortages.
  • Ensure adherence to all company policies, health and safety regulations, and applicable industry standards.
  • Investigate and resolve material delivery discrepancies or quality issues by working with relevant vendors and internal departments.
  • Collaborate regularly with procurement, production, and warehouse teams to ensure operational requirements are met.
  • Expedite purchase orders as needed and follow up with suppliers to maintain the delivery schedule outlined on POs.
  • Communicate proactively with relevant departments regarding material availability and anticipated shortages.
  • Support and contribute to continuous improvement efforts focused on increasing the efficiency of material management processes.

QUALIFICATIONS AND SKILLS

  • Strong organizational and time management skills with the ability to prioritize effectively.
  • Proficiency in inventory management systems and related software.
  • Excellent communication and problem-solving abilities.
  • Comfortable working in a fast-paced environment while managing multiple responsibilities.
  • Solid understanding of procurement and supply chain processes.
  • Fluency in Spanish is considered an asset.

EDUCATION AND EXPERIENCE REQUIREMENTS

  • High school diploma or equivalent required; a diploma or certificate in Supply Chain Management, Business, or a related field is preferred.
  • 1-2 years of experience in materials coordination, inventory management, logistics, or a related role.
