Job description

Job Title: Manager, Department Operations Team

The Department Operations Team in the Faculty of Arts is seeking a full-time, regular Manager.

The Faculty of Arts is home to motivated educators, researchers, and students with the skills and knowledge to understand our rapidly changing, globalized world. It aligns with the university's strategic priorities, including Equity, Diversity, Inclusion, Accessibility, Indigenous Engagement, Mental Health, Global Engagement, and Sustainability.

Reporting and Leadership

The Manager reports to the Vice-Dean of the Faculty of Arts and collaborates with the Department Head / School Director. As part of the managerial leadership team, the Manager drives strategic priorities and oversees operational needs, interacting with faculty, staff, and students across a diverse environment. The role involves proactive leadership in managing and integrating unit operations.

Key Responsibilities
  1. Lead strategic planning for staffing, budgeting, resource allocation, and space management.
  2. Develop and maintain business continuity and emergency response plans.
  3. Manage workplace safety, hazard assessments, incident reporting, and compliance.
  4. Oversee curriculum and unit review processes.
  5. Manage space and resource utilization.
  6. Support faculty strategic and long-range planning.
  7. Forecast and oversee budgets, including operational, research, and other funding.
  8. Maintain financial reports, models, and analyses.
  9. Manage grant funding and endowments.
  10. Assist in budget planning and ensure operational transactions and reporting are accurate.
  11. Advise on research funding, regulations, and compliance.
  12. Track expenditures, analyze variances, and mitigate liabilities.
  13. Update and develop policies aligned with strategic goals.
  14. Lead organizational and operational initiatives.
  15. Manage transitions in academic leadership roles.
  16. Develop unit plans, manage teams of administrative and technical staff, and oversee recruitment, performance reviews, and development.
  17. Coordinate academic career processes and recruitment initiatives.
  18. Foster a collaborative work environment and oversee unit operations, events, and community engagement activities.
Qualifications / Requirements

Required:

  • Undergraduate degree.
  • At least 7 years of managerial experience.
  • Experience with budget oversight and strategic planning.
  • Leadership, conflict management, and communication skills.
  • Ability to manage multiple priorities and attention to detail.
  • Proficiency in Microsoft Office, especially Excel and database tools.

Considered an asset:

  • Graduate degree.
  • Knowledge of university systems and academic processes.
  • Experience managing teams in unionized environments.
