Qualifications

Responsibilities

  • Be the primary point of contact for courier and shipping vendors and resolve service-related issues
  • Accurately sort and distribute incoming packages and documents and provide daily courier delivery across departments
  • Coordinate employee shipment requests, special deliveries and office pickups for courier or Canada Post
  • Code and submit courier and shipping invoices; monitor postage meters and ensure adequate postage
  • Maintain shipment records and tracking information; follow up on delivery issues as needed
  • Liaise with shipping providers and office supply companies; assist with RFPs for local and international courier services
  • Assist with customs clearance of international shipments arriving at Vancouver offices and conduct regular audits
  • Coordinate records management activities (Iron Mountain pickups/deliveries); manage office supply stock
  • Order business cards and assist with ergonomic install requests; support moving of boxes and equipment
  • Provide kitchen, reception and other absences coverage for Office Services; support colleagues with a helpful, professional demeanour

Role Overview

Reporting to the Manager, Office Services, the Mail Clerk will aid with office support for the Vancouver offices (over 550 employees). This outstanding candidate will provide mailroom and various other office and delivery services!

Key Responsibilities
  • Be a courageous safety leader, adhere to and sponsor safety and environmental rules and procedures
  • Be the primary point of contact for courier and shipping vendors while addressing service-related issues.
  • Accurately sort incoming packages and documents, and provides regular distribution, pick-up, and delivery service daily to all departments.
  • Coordinate employee shipment requests, special deliveries and office pickups for delivery by courier or through Canada Post.
  • Code and submit courier and shipping invoices.
  • Monitor postage meter to always ensure adequate postage.
  • Maintaining shipment records, tracking information and following up on delivery issues as required.
  • Liaise with shipping providers, office supply companies and assist with RFP process for local and international courier services while addressing service concerns as needed.
  • Assist with customs clearance of international shipments arriving to Vancouver Offices and conducts audits for said shipments regularly while adhering to customs clearance policy.
  • Coordinate records management activities, including Iron Mountain pickups and deliveries.
  • Order office supplies and ensures an adequate stock is maintained. Coordinate special supply requests for business groups as needed.
  • Ensure photocopy areas have adequate supply of paper
  • Order business cards as requested
  • Assist with ergonomic installment requests from office staff and follows procedure.
  • Assist with moving of boxes, equipment and supplies as required
  • Maintain a clean and orderly Mailroom and tidy other areas of the office
  • Provide kitchen, Reception and other absence coverage for Office Services team as required
  • Assist all personnel in the office as required in a helpful and professional manner
  • Various special projects or other duties as may be assigned.
Qualifications
  • 1-2 years' previous office experience is necessary in a similar office role; previous Reception experience an asset
  • Proficiency in MS Office, including Word, Excel and Outlook applications
  • Demonstrated ability to work under pressure, meet tight deadlines and efficiently handle changing priorities
  • Must possess strong time management skills and attention to detail
  • Proven track record to establish and maintain effective working relationships by exercising tact and diplomacy while maintaining the highest levels of customer service
  • Must show capability to learn new skills and processes within an assigned timely manner
  • Enjoys working in a team environment and can also work independently with little direction
  • Possess a helpful, positive and professional demeanour
  • Must have excellent oral and written skills

Pay Range: CAD $49,000 - $60,000 per year

The actual amount offered is determined based on the successful candidate's relevant experience, skills, and competencies and considers internal equity.
