Job summary

Clutch is seeking a Licensing Administrator to maintain daily vehicle licensing operations within the Field Operations team in Mississauga, Ontario. You will handle licensing procedures, registrations, and maintain digital and physical records to ensure seamless deliveries.

The role requires at least a high school diploma and 1+ years in licensing or vehicle registration, with strong multitasking, communication, and knowledge of Google Sheets/Drive. On-site role with competitive benefits.

Responsibilities

  • Manage daily vehicle licensing tasks for on-time deliveries.
  • Retrieve and update licensing data in Clutch software databases.
  • Coordinate with Revenue, Field Operations and Production teams to complete licensing.
  • Oversee vehicle registration and documentation filing (digital and physical).
  • Track changes in licensing regulations and communicate updates to the team.
  • Provide onboarding support and training on licensing procedures to new hires.

About the role:

We are on a mission to build a world-class team that drives innovation, growth, and excellence. As we scale rapidly, we are looking for a Licensing Administrator who will be responsible for maintaining the daily vehicle licensing operations at Clutch. This role is an integral part of our Field Operations team, as you'll be completing a large volume of licensing tasks before each scheduled delivery. Ensuring that you deliver an incredible customer experience is a key part of this role. Reporting to the Field Operations Supervisor, the successful candidate for this role is a highly motivated self-starter willing to take ownership of various key administrative tasks and has previously worked in a customer experience-focused role.

What you'll do:
  • Work extensively with Google Sheets to gather and manage data required for daily licensing activities.
  • Work with the Clutch software database to retrieve data for licensing purposes and maintain accurate digital records to support the completion of licensing procedures.
  • Collaborating with the Revenue, Field Operations and Production teams to coordinate the timely and accurate completion of licensing.
  • Ownership and vehicle registration management to streamline licensing procedures.
  • Filing documents and storing them manually as well as digitally.
  • Keeping up with any changes in licensing regulations and communicating updates to the team.
  • Provide training and ongoing support to new hires on daily licensing procedures to ensure accuracy and compliance.
  • Investigated inquiries from the sales team and proactively resolved any issues related to licensing to ensure smooth operations.
  • Schedule a timely meet up at the Ministry of Service Ontario to complete the administrative procedure.
What we're looking for:
  • Education: Minimum High school diploma or equivalent
  • Experience: 1+ years of experience dealing with ownership and vehicle registration management to streamline licensing procedures.
  • Ability to multitask and prioritize competing demands
  • Technology savvy (Google Drive, Slack, etc.)
  • Previous vehicle licensing experience is strongly preferred
  • Previous administrative experience is strongly preferred

Compensation & Benefits:
  • Wage: $24.00 per hour
