Job Description: Legal Assistant, Banking & Financial Services at Litigation Law

Osler, Hoskin & Harcourt LLP is one of Canada's leading business law firms, advising Canada's corporate leaders, U.S. and international clients. With over 1,000 members, our offices are located in Toronto, Montréal, Ottawa, Vancouver, Calgary, and New York.

Position Overview: We are seeking a Legal Assistant (LA) in our Banking & Financial Services Department. The LA will manage practice-related tasks proactively and independently, providing high-level support to enhance efficiency. The ideal candidate will have excellent multi-tasking, administrative, communication skills, and banking & financial services experience.

Major Responsibilities:
  • Manage the LP’s inbox, monitor and respond to emails, and stay updated on file developments.
  • Maintain the LP’s calendar, organize meetings, arrange facilities, prepare agendas, coordinate attendees, and book travel.
  • Serve as the point of contact for clients and internal/external stakeholders, developing effective relationships.
  • Support firm management and not-for-profit board roles of LPs.
  • Administer client accounts, ensure timely submission of charges, review prebills, prepare invoices, and address client inquiries.
  • Assist with conference and business development activities, including preparing speaking notes and presentations.
  • Support client development, manage LP bios, update the client database, and assist with pitch materials.
  • Coordinate new file setup, client intake, and document management.
  • Manage document workflow, including drafting, formatting, and distributing materials.
  • Handle audit inquiries and perform other duties to support firm objectives.
Position Requirements:

Education & Experience: Community College diploma in Office, Legal, or Business Administration, plus at least three years of relevant experience. Equivalent combinations considered.

Knowledge & Skills: Support for a Partner’s practice with discretion, excellent attention to detail, strong communication, technical skills (MS Office), organizational abilities, responsiveness, teamwork, initiative, legal procedures knowledge, drafting, and proofreading skills.

Our current hybrid work model requires primarily in-office work with up to two days remote work per week.
