SUMMARY
The Legal Assistant is a key member of the Legal Services administrative support group and is primarily responsible for providing legal administrative support to the Legal Department.

ACCOUNTABILITIES

  • Organize and maintain all legal files to ensure they are complete, properly documented and organized.
  • Update checklists and assist with document production as required.
  • Review, redact and prepare List of Documents.
  • Assist legal counsels with freedom of information requests.
  • Prepare correspondence to licensees and others, as directed by legal counsels and paralegals.
  • Prepare mail and packages for sending out by mail or courier and arrange for service of documents as instructed by paralegals and legal counsels.
  • Attend Monthly Legal Meetings and prepare agendas and minutes.
  • Close electronic files and update IRIS, SharePoint, Resolver, and other data banks for discipline history.
  • Send out payment reminders, follow up on outstanding payment and assist with other collection matters.
  • Assist with BCFSA’s duty to disclose evidence at hearings to the respondent.
  • Assist with preparation of Books of Documents and Book of Authorities (either electronic version or hard copies) and any other materials required for hearings.
  • Monitor post-hearing activities including suspensions, education requirements, and payment of discipline penalties and enforcement expenses by licensees.
  • Provide assistance and back up coverage to paralegals.
  • Assist with special projects and ad hoc requests from the Manager of the Legal Services team and Director as requested.
  • Manage office supplies, and other general administrative duties as required for the Director and Manager of the Legal Services team.

JOB REQUIREMENTS

  • Must have strong interpersonal skills.
  • Excellent written and oral communication skills.
  • Strong commitment to quality.
  • Must have the ability to take instruction from others, work as a member of a team and be able to work independently.
  • Must be highly organized and handle pressure well.
  • Proven ability to meet competing deadlines.
  • Knowledge of Microsoft Office and SharePoint.
  • Basic understanding of legal framework and documents.

RELATED EXPERIENCE

  • Experience of working in a legal office or regulatory environment.

EDUCATION

  • Grade 12 or equivalent.

CERTIFICATION

  • Legal Assistant Certification or equivalent education/work history is preferred.

PROVISOS
Candidates must be eligible to work in Canada and living in British Columbia or intent to settle in the province.
