Recruitment Consultant at Marberg Staffing Ltd.

Legal Assistant (Entry Level) for provincial government agency client, downtown Toronto.

Job Type: Temporary.

Initial Term: June 24 2025 to July 11, 2025, with possible extension.

Target Compensation: $23 per hour, with some flexibility according to experience.

Regular Work Hours: From 9 am to 5 pm not including 1 hour unpaid lunch break, to be worked during regular business hours, Monday to Friday (35 work hours per week).

Work Location: 100% onsite at client's downtown Toronto office, near TTC station. Please note that this organization maintains a COVID screening policy.

Responsibilities Summary:

To provide legal administration support, office coordination, and clerical services to Legal Services team.

  • Coordinate and maintain team schedule for tribunal hearings and mediations, liaising with other departments and colleagues as needed.
  • Arrange meetings and travel, book meeting rooms, assemble supporting information and prepare meeting briefing packages.
  • Assist in collection and preparation of supporting documents and evidence for applications, including documents binding, and following up with other parties to obtain required information.
  • Prepare memos and reports from drafts, handwritten notes, or verbal instructions, using appropriate formats and templates.
  • Maintain filing system for active and closed files. Maintain file tracking procedures and retrieve and re-shelve files from on-site records centre as requested.
  • Provide back-up to legal administrative support staff and receptionist as needed. Receive phone calls and visitors, interact with members of the general public and provide appropriate information in a courteous manner. Accurately collect and record all relevant case information.
  • Additional legal and general office administration tasks as required.

Qualifications:

Education: Post Secondary education in Legal Administration, Business Administration, or equivalent combination for education and work experience.

Preferred Work Experience: Approximately 1 year of legal administration experience from either an in-house legal department or a law firm, or equivalent combination of work experience and education.

Preferred Sector Experience: Community services and/or general public facing experience an asset. Familiarity with a tribunal or quasi-judicial environment an asset.

Technical and Language Skills Requirements:

  • Proficiency with MSOffice Word, PowerPoint, Excel, and Outlook (will be tested).
  • Strong typing and data entry skills (will be tested)
  • Familiarity with a case management system an asset.
  • Strong English skills, both written and verbal, including advanced level business writing skills, excellent spelling, grammar, proofreading and syntax, and polished, professional telephone manners.

Task -Based Qualifications and Additional Attributes:

  • Knowledge of legal administrative support practices and court or tribunal processes. Familiarity with legal protocol to anticipate and prepare required documents.
  • Excellent administrative skills, with ability to work well in a time sensitive environment with multiple urgent deadlines.
  • Knowledge of legal terminology to prepare and proofread legal documents and to understand their significance and/or urgency.
  • Punctual, responsible, and reliable. Demonstrated record of professional conduct and character, and ability to work well both independently and collaboratively.
  • Ability to work well with members of the general public, including ability to provide standardized information and respond directly to routine requests.
  • Proven ability to professionally handle confidential information and exercise good judgement in the interpretation and application of instructions and organization policy.
  • Superior attention to detail, and organized, methodical approach to completion of tasks.
  • Ability to work collaboratively and respectfully in a diverse workplace, including awareness of and sensitivity to cultural, racial, ethnic, gender, age and disability-related issues that may arise in the workplace and in serving diverse communities.

Additional Requirements:

  • Ability to complete the Ontario Self Assessment Tool on a daily basis, to proactively screen for COVID-19 related symptoms and risk factors prior to entry into the workplace.
  • Must be legally entitled to work in Canada, providing satisfactory documentation upon request.
  • Ability to work 100% onsite, abiding by organization health and safety policies.
  • Ability to declare personal Non-Conflict of Interest in execution of assignment responsibilities.
  • Provision of certification of AODA and OHSA online training course completion prior to assignment start.
  • Provision of certification of full COVID-19 vaccination series prior to assignment start, subject to reasonable accommodation per the Ontario Human Rights Code.
  • Additional satisfactory Background Checks, Technical Skills Evaluations, and Employment References as required.
