Qualifications

Responsibilities

  • Maintain complete, accurate electronic and hard-copy files for the Member Education Team.
  • Enter, update and validate information in databases and tracking systems for member education and training.
  • Maintain workshop records: requests, approvals, registrations, attendance, evaluations and materials.
  • Coordinate with venues for in-person workshops: availability, quotes, contracts and logistics.
  • Prepare and distribute meeting materials; track action items and update records.
  • Handle inquiries by email/phone/in person and route to the appropriate staff.

ONA is seeking to hire a Labour Relations Assistant to join our Membership Education Team in our Toronto office. This posting is for an existing vacancy. This position reports to the Senior Manager, Member Education/Anti-Racism and Anti-Oppression and will demonstrate expertise, judgment and independence to provide advanced-level administrative and operational support with a professional and service-focused approach.With high attention to detail and exemplary initiative, the successful candidate will be accountable for providing support to members and staff, in a manner that is consistent with our member values.

This is what else you can expect from this dynamic role:

  • Accountable for maintaining complete, accurate and up-to-date electronic and hard-copy files for the Member Education Team in accordance with established records management, confidentiality and privacy requirements.
  • Accountable for entering, updating and validating information in established databases, spreadsheets and tracking systems related to member education, staff education and training, and Expressions of Interest.
  • Accountable for maintaining workshop records, including requests, approvals, registrations, attendance, evaluations, correspondence, supporting documentation and workshop materials.
  • Accountable for liaising with venues regarding approved in-person workshop requests, including obtaining availability, quotes, proposals, contracts and other required information; coordinating administrative arrangements; and communicating confirmed details to the appropriate staff.
  • Accountable for maintaining complete and accurate records of all venue-related documentation, including quotes, proposals, contracts, approvals, confirmations, invoices, cancellation terms and correspondence, in accordance with established records management procedures.
  • Accountable for compiling and producing regular and ad hoc operational reports and statistics, as requested by the Senior Manager, Member Education/Anti-Racism and Anti-Oppression. Reports may include workshop attendance, delivery formats, regional and sector participation, cancellations, outstanding documentation, Expressions of Interest and other Member Education activities.
  • Accountable for reviewing records for completeness and accuracy, identifying missing or inconsistent information and following up with the appropriate staff to obtain required documentation.
  • Accountable for administratively processing approved registrations and bookings for workshops in accordance with established procedures.
  • Accountable for reconciling corporate credit card charges related to requested workshops and maintaining the required supporting documentation.
  • Accountable for preparing and distributing Member Education Team meeting materials, documenting action items, maintaining the team’s action-item records and updating those records based on information provided by the responsible staff.
  • Accountable for maintaining records of Expressions of Interest, acknowledging submissions and compiling related reports and statistics.
  • Accountable for receiving inquiries by email, telephone and in person, documenting relevant information and directing inquiries to the appropriate staff member or team.
  • Accountable for providing administrative and logistical support for Member Education meetings and activities, including arranging meeting rooms, courier services, incoming and outgoing mail, and the reproduction and collation of materials.
  • Accountable for actively participating as a team member and providing administrative and operational support to help ensure departmental and organizational accountabilities are met.
What we are looking for:

The successful candidate will possess -

  • Post-secondary certificate and/or diploma in Business Administration, Administrative Services or a related field.
  • A minimum of 2-3 years of experience coordinating events, members' programs, or initiatives that involve multiple interested parties preferred.
  • Proficiency with registration software and event management applications and other event technology solutions preferred.
  • Ability to work effectively in both in-person and hybrid environments.
  • Advanced knowledge of Microsoft Office 365 (including Word, Excel and PowerPoint).
  • The ability to multi-task, prioritize and manage multiple deadlines in a fast-paced environment in accordance with instructions. High level of accuracy and strong attention to detail while remaining calm and professional during high pressure situations.
  • Adaptable and flexible individual who can work effectively as part of a team.

Occasional travel required between sites/regional offices and/or provincially.
