Position Summary
Are you an organized, tech-savvy professional with a knack for multitasking and a passion for supporting dynamic teams? We are seeking a dedicated IT Administrative Assistant to provide confidential and comprehensive administrative support to our VP, IT, and the Global IT team.
Based in our vibrant Vancouver office, you will play a crucial role in ensuring the smooth operation of our Global IT department. In this role, you will manage calendars, coordinate meetings, prepare reports, and handle travel arrangements, all while maintaining a high level of confidentiality and professionalism. Your ability to liaise with internal and external stakeholders, coupled with your advanced MS Office skills, will be key to your success.
Position Responsibilities
Administrative Support Services to VP, IT
- Manage the VP of IT’s calendar and schedule.
- Coordinate with stakeholders for meetings, events, and travel, ensuring all materials are prepared in advance.
- Prepare agendas, attend meetings, record minutes, and maintain action item logs.
- Arrange travel, including transportation, accommodation, and entry requirements, ensuring cost-effective options.
- Prepare detailed travel itineraries and packages.
- Monitor travel conditions to manage changes or emergencies.
- Assist the Global IT Leadership team in creating reports and presentations for senior audiences.
- Screen calls and meeting requests, handling queries when possible.
General Administration (Global IT Team and Vancouver office)
- Assist Global IT Directors with travel arrangements, expense reports, and HR-program requirements.
- Organize and manage Global IT team meetings, including invites, room bookings, catering, agendas, minutes, and ensure smooth operations.
- Coordinate Global IT Leadership Team (GITL) meetings by scheduling, preparing agendas, pre-reading materials, and recording minutes and actions.
- Support the IT Business Office by maintaining IT policies, standards, procedures, and assisting with budgets, forecasts, and reconciliations.
- Handle administrative tasks such as invoices, expense claims, and company credit card expenses.
- Manage and share content on SharePoint sites and maintain Vancouver IT pages on Methanet, Viva Engage, and Teams Channels. Oversee site administration and permissions.
- Coordinate onboarding/offboarding forms, welcome new employees, and organize training schedules.
- Arrange travel for Global IT Management, including liaising with travel consultants, visa applications, and logistics.
The above accountabilities may shift over time and/or as needed by the organization.
Position Qualifications
Education and/or Professional Designation
- Completed degree, diploma, or coursework in administration, IT, time management, hospitality, customer service, or related business discipline, coupled with industry experience.
Experience and Technical Skills/Knowledge
- 5+ years of senior administrative experience in IT or relevant industry, or equivalent working experience.
- Proven customer service, problem-solving and analytical thinking skills.
- High attention to detail; skilled in consolidating and presenting numerical and financial data.
- Advanced user of MS Office (Excel, Word, PowerPoint Outlook email systems, and MS Teams).
- Tech savvy; quick learner of new systems.
- Highly organized self-starter; able to manage multiple, competing priorities with thorough follow-up.
- Excellent communication skills for interacting with employees (at all levels) and external vendors.
