Job summary

ICAO in Montreal seeks an experienced Inventory and Logistics Coordinator to manage inbound assets, mailroom, and retail support. You will oversee asset records and coordinate deliveries.

Use Quantum ERP and ServiceNow to keep electronic records, generate reports, and ensure accurate asset tracking across warehouses and regional offices.

Qualifications

• Essential: 5 years of experience in inventory management, mailroom services, retail management, warehousing, or related field.
• Essential: ability to receive deliveries and maintain accurate records; knowledge of asset control practices.

Responsibilities

• Coordinate receipt and recording of inbound assets, manage warehouse space, investigate discrepancies, and facilitate asset release.
• Act as focal point for inventory management systems (Quantum ERP, ServiceNow), maintain electronic records, and generate reports.
• Process incoming deliveries, sort and redistribute mail and shipments, and resolve delivery issues.
• Maintain inventory documentation, assist with incident reports, and consolidate records from regional offices.
• Provide support to ICAO Commissariat retail operations as needed.

Job description

Organizational context: The Bureau of Administration and Services (ADB) manages administrative functions, including physical and human resources, ethics, and strategic goal implementation. The Safety & Security and General Services (SSG) Section oversees premises security, facilities management, travel, commissariat operations, and property control/logistics. The Property Control & Logistics and Commissariat Unit (PCL) handles asset receiving, management, and inventory databases for ICAO HQ and Regional Offices, as well as mail and the Commissariat.

Job purpose

To coordinate inventory and asset management activities, serve as a focal point for inventory management systems, and support logistics and mailroom operations. The role ensures accurate record-keeping, proper control of assets, and efficient processing of deliveries and mail.

Education

Work experience

Essential: Minimum of five years of experience in inventory management, mailroom services, retail management, warehousing, or a related field, including experience receiving deliveries. Desirable: Experience in a Shipping and Receiving area, warehouse management, and retail cashier/customer service.

Skills

Professionalism, teamwork, planning and organizing, accountability, client orientation. Knowledge of office automation and MS Office applications. Understanding of inventory management practices and ICAO's Asset Management and PP&E policies. Ability to physically handle inventory. Initiative, sound judgment, accuracy, and attention to detail.
