Geotab is seeking an Intellectual Property Legal Assistant who will provide administrative and procedural support to the Intellectual Property (IP) team, working under the direction of the IP Paralegal. What you'll do:

As an Intellectual Property Legal Assistant your key area of responsibility will be assisting with IP-related processes, including the preparation, filing, and maintenance of intellectual property documentation, as well as supporting departmental projects and ensuring the smooth execution of daily tasks.

How you'll make an impact:

Draft, prepare, format, and revise correspondence and submissions to the United States Patent and Trademark Office (USPTO), Canadian Intellectual Property Office (CIPO), and World Intellectual Property Office (WIPO).

Review and take appropriate action on incoming correspondence from outside counsel related to patents and trademarks.

Communicate with outside counsel via email or telephone as needed.

Provide administrative and procedural support to the IP Paralegal and the broader IP Team.

Contact IP offices, including the USPTO, CIPO, and WIPO, to resolve basic file-related issues such as application status inquiries, paperwork changes, and general follow-ups.

Enter and update administrative information and monitor deadlines in the intellectual property docketing system (ANAQUA).

Serve as the main point of contact for the Information Disclosure Statement (IDS) Management System (MaxIDS); prepare and file IDS submissions with the USPTO.

Correspond with internal inventors and obtain signatures using DocuSign.

Navigate patent office portals for submission and research purposes.

Assist with updating precedent documents and procedural guidelines.

Comfortable in a flat organization with an entrepreneurial spirit and little concern for hierarchy.

Support Geotab global strategic initiatives.

What you'll bring to the role:
  • 1-3 years of experience as a legal Assistant/Clerk/Paralegal working in Intellectual Property.
  • Experience with USPTO patent prosecution, processing USPTO related forms and electronic filing with the USPTO.
  • High accuracy and meticulous attention to detail.
  • Excellent proofreading abilities.
  • Able to work well under pressure and respond to fast changing priorities and deadlines.
  • Highly organized and able to manage multiple tasks and projects simultaneously.
  • Excellent verbal and written communication skills.
  • Strong interpersonal relationship building skills.
  • Strong analytical skills with the ability to problem solve to well-judged decisions.
  • A strong team-player with the ability to engage with all levels of the organization.
  • Technical competence using software programs, including, but not limited to, Google Suite for business (Sheets, Docs, Slides) and docketing systems such as Anaqua, an asset.
