SCOPE OF POSITION:

Reporting to the Manager, Information Technology and Operations (IT/O) the Information Technology (IT) and Operations Administrator will provide support to the priorities of IT and Operations Unit including special projects, system updates, project documentation and onsite or remote support. The responsibilities include technical, operational and administrative tasks to support information technology and operations projects and initiatives that improve the function, efficiency and security of Oxfam Canada’s information technology and operations infrastructure.

The IT and Operations Administrator role requires comprehensive experience in IT service management, infrastructure, project management, and information security. Equally important is a strong focus on providing exceptional customer service to support the organization’s operational needs effectively.

The IT and Operations Administrator is a full-time, fixed-term role for one (1) year, requiring the incumbent to perform their duties on site, five (5) days per week.

MAJOR RESPONSIBILITIES: (This is not an exhaustive list of duties to be performed)

  1. Support the IT team to ensure the computer network is running smoothly, efficiently and safely.
  2. Provide onsite or remote support to troubleshoot and help maintain information technology systems and networks.
  3. Implement key project tasks as directed by the Manager, IT/O.
  4. Support the completion of the critical security control project.
  5. Support pool drive decommission project.
  6. Support system updates, hardware and software configuration, installation and support including helping to maintain security and safety, as required.
  7. Prepare project documentation for review by the Manager, IT/O.
  8. Validate, secure and store project(s) documentation.
  9. Assist in identifying and resolving service tickets in a timely manner, in person or remotely.
  10. Prepare hardware and software for delivery including packaging and courier.
  11. Conduct onsite and remote technology support for virtual and physical meetings.
  12. Update inventory of all hardware and software resources.
  13. Offer technical support to users by responding to questions and concerns.
  14. Support package and disseminate computer equipment and retrievals including updates to asset inventory system.
  15. Administrative support to triage incoming mail, couriers, or equipment as required.
  16. Perform backups and restore data as needed.
  17. Other duties as assigned.

REQUIRED KNOWLEDGE, EXPERIENCE & COMPETENCIES:

  1. Post-secondary education in Computer Sciences or Network Administration.
  2. Professional certification preferred in a related field.
  3. Strong background in IT infrastructure, service management, project management and information security.
  4. Minimum of three (3) years experience in IT customer service and infrastructure-support role.
  5. Demonstrated commitment to global justice, women’s rights, gender equality and social change.
  6. Professional certifications are an advantage (IT service management, project management and information security).
  7. Solid knowledge and direct experience working with:
  • Microsoft Active Directory
  • Microsoft Azure
  • Office 365 Tenancy
  • Windows Server Operating Systems
  • Ticketing systems like ServiceNow, JIRA, FreshDesk, and similar
  • Microsoft Windows Operating Systems
  • Microsoft Office and other desktop productivity tools
  • WAN/LAN Networking
  • Enterprise Antivirus and Firewall technologies.
  • VOIP systems and telephony
  • VMWARE Operating Systems and admin experience.
  1. Experience in installing and configuring system hardware, software and third-party software.
  2. Experience in developing technical guides for users.
  3. Demonstrated strong and detailed troubleshooting knowledge as well as general problem-solving skills.
  4. Demonstrated knowledge of system backup and data security techniques.
  5. Excellent English communication skills, orally and in writing.
  6. Ability to set priorities and execute tasks in a high-pressure environment and make sound decisions in emergency situations.
  7. Demonstrable high standards of ethical conduct, honesty and integrity, with a high sense of accountability.
  8. Strong troubleshooting, analytical and problem-solving skills.
  9. Strong interpersonal skills and the ability to work with technical and non-technical staff.
  10. Demonstrated ability to deliver technical information in a format that enables end-users to understand.
  11. Empathetic to the end-user, service-oriented and tactful; work in a polite, courteous, and cooperative manner; listen to others and respond appropriately.
  12. Ability to work effectively in a diverse cultural setting.
  13. Ability to work on-site in the headquarters with on-call availability.
  14. Experience working in a unionized environment is an asset.
  15. Willingness to sign and abide by the Oxfam Code of Conduct.
