HVAC Dispatcher / Service Scheduler

Company: Evaporative Tower Service Inc. Location: Mississauga, ON Reports To: Service Manager Employment Type: Full-Time, On-Site Hours: 6:00 AM–4:00 PM operating hours; 8 hours per day, with some flexibility required Salary: $55,000–$65,000 starting salary, plus discretionary bonus based on experience


About the Role

The HVAC Dispatcher / Service Scheduler is at the center of our daily service operations, coordinating technicians, customers, schedules, and materials to keep work moving efficiently. This role plays an important part in ensuring service readiness, supporting both service and maintenance operations, and delivering a positive customer experience. Working closely with field teams, the parts department, and management, you’ll help keep our operations organized, responsive, and running smoothly.


What Will You Do?


  • Schedule and dispatch technicians for service calls, maintenance visits, and emergency repairs.

  • Optimize daily routes and technician schedules based on priorities, technician availability, and emergency requirements.

  • Confirm customer and site readiness before dispatch.

  • Serve as the primary communication link between technicians, customers, and management.

  • Provide technicians with job details, service history, materials lists, and customer-specific instructions.

  • Coordinate required parts and materials before jobs are dispatched.

  • Track job status and completion updates in dispatch systems.

  • Manage maintenance agreement scheduling and completion timelines.

  • Answer incoming calls and respond to customer inquiries professionally and promptly.

  • Prepare work orders and time entries in ServiceBox and complete related administrative tasks.

  • Review technician timesheets against schedules and validate travel time submissions.

  • Generate reports related to technician utilization, service volume, and maintenance completion.

  • Collaborate with the Parts Department and coordinate return visits when required.

  • Apply company policies and processes related to travel time, shop visits, and scheduling consistency.


What Do You Bring?


  • 3+ years of dispatching or scheduling experience, preferably in a trades or maintenance service environment; HVAC experience is preferred.

  • Experience managing work orders and administrative tasks using a CRM or service management platform; experience with ServiceBox, our service management system, is an asset.

  • Strong organizational and time management skills, with excellent attention to detail and process discipline.

  • Strong problem-solving and decision-making skills, with the ability to adapt quickly to changing priorities.

  • Excellent verbal, written, and interpersonal communication skills, with the ability to build credibility and influence others.

  • Customer-first, people-centric approach with a strong focus on delivering a positive service experience.

  • Ability to multitask, stay organized, and remain calm under pressure and high call volumes.

  • Strong proficiency with Microsoft Office, particularly Excel.

  • Working knowledge of HVAC terminology and service workflows is an asset.

  • Collaborative team player who communicates effectively across field, service, parts, and management teams.

  • Tech-savvy and comfortable learning new systems and processes with minimal guidance.
