Job summary

Right Time Heating and Air Conditioning is seeking an organized Office Administrator to support our service department. You will manage service requests, track work orders, and coordinate with customers and suppliers to ensure timely parts delivery and smooth service execution.

The ideal candidate has 2–3 years in administration, strong MS Office skills, and excellent communication. HVAC experience is a plus. This on-site role offers competitive compensation and comprehensive benefits.

Qualifications

  • Minimum 2–3 years of experience in an administrative function.
  • Proficiency in MS Office (Word, Excel).
  • HVAC experience is an asset.
  • Ability to work independently with strong written and verbal communication.
  • Strong organizational skills and attention to detail.

Responsibilities

  • Monitor service requests for customers and ordering parts that are required.
  • Processing warranty claims with suppliers.
  • Communicate with customers to schedule return appointments and provide updates on service status.
  • Maintain accurate records of service requests, work orders and customer interactions.
  • Collaborate with other departments to ensure smooth service delivery.
  • Attend to customer service requests via email and over the phone.
  • General administration (filing, circulating documents, mailings, courier etc.).
  • Special projects and reports as required.
