Job summary

ICE Western, a Calgary-based HVAC manufacturer, seeks an HVAC Project Coordinator reporting to the President. You will coordinate custom projects, gather and organize information, and serve as the communication link between customers and the Design team.

The ideal candidate has HVAC knowledge, can read drawings, and is comfortable using AutoCAD and technical documentation. Strong organization and clear communication are essential in a fast-paced environment with tight deadlines.

• 1–2 years of relevant HVAC/project coordination experience.
• Ability to read mechanical drawings, specifications, and shop drawings.

Position Summary:

The HVAC Project Coordinator supports the President in coordinating custom HVAC projects and acts as a key communication link between customers and the Design team.

The role is responsible for gathering and organizing project information, reviewing customer requirements and technical documentation, coordinating questions and revisions with Designers, tracking submittals and approvals, and ensuring important project information is communicated accurately and on time.

The ideal candidate has practical HVAC knowledge, can read mechanical drawings and specifications, and is comfortable working with AutoCAD and technical documentation. This position requires strong organization, follow-up and communication skills, along with the ability to remain professional and solutions-focused in a fast-paced, high-expectation environment with direct communication, changing priorities and tight deadlines.

Key Responsibilities:

Project & President Support

• Support the President with project coordination, follow-up and priority tracking.
• Organize customer requests, project information, approvals and outstanding items.
• Prepare project documentation, reports and correspondence as required.
• Escalate delays, missing information or project concerns when necessary.

Customer & Design Coordination

• Coordinate communication between customers, the President and the Design team.
• Gather and clarify customer requirements, specifications and technical information.
• Track drawings, revisions, submittals and customer approvals.
• Follow up with Designers on outstanding questions, changes and deadlines.

Technical & Administrative Coordination

• Review mechanical drawings, specifications, shop drawings and tender documents.
• Use AutoCAD to review drawings and support mark-ups or minor revisions.
• Maintain accurate project files, drawing revisions and supporting documentation.
• Coordinate project information with internal departments as required.

Qualifications:

Required:

• 1–2 years of relevant experience in HVAC, project coordination, estimating, drafting/design support, or a related technical role.
• Working knowledge of HVAC systems and components.
• Ability to read and interpret mechanical drawings, specifications, shop drawings and technical documentation.
• Working knowledge of AutoCAD and Microsoft Office, including Excel.
• Strong organizational skills with the ability to manage multiple priorities and follow up on outstanding items.
• Strong written and verbal communication skills when working with customers, Designers and internal teams.
• Ability to remain professional, adaptable and solutions-focused in a fast-paced, deadline-driven environment.

Preferred or Assets:

• Diploma or certificate in Mechanical Engineering Technology, HVAC Technology, Engineering Design/Drafting, or a related field.
• Experience in custom, commercial or industrial HVAC manufacturing.
• Experience supporting Engineers, Designers, Project Managers or senior leadership.

Hours of Work

• Full-time, 44 hours per week - ON SITE
• Monday - Friday
