Job Description

Position: Human Resources Assistant

Purpose of the role: Employing a sharp eye for detail and notable organizational skills, the Human Resources Assistant takes primary responsibility for maintaining accurate data and files, provides administrative support to the HR department, and acts as the executive assistant to the Co-COOs. The ideal incumbent prefers supportive, administrative work on a collaborative team.

Reports To: Human Resources Manager

Duties and Responsibilities:

In accordance with the Management and Human Resources policies of Burnet, Duckworth & Palmer LLP, the Human Resources Assistant has the responsibility to complete the following duties:

  1. Maintain out-of-office schedules and complete daily staffing.
  2. Manage employee attendance, including inputting, tracking paid time off, and resolving discrepancies.
  3. Serve as Subject Matter Expert for HRIS (currently Dayforce) related to time and attendance, onboarding, and recruitment modules.
  4. Maintain and organize employee electronic files, including scanning and filing hard copy documents.
  5. Provide administrative support to the HR department and Co-COOs, including drafting, proofreading, formatting documents, data entry, report generation, and research.
  6. Assist with recruitment, onboarding, internal changes, and offboarding processes.
  7. Maintain electronic employee files, HR Manual, and other records in DMS.
  8. Support accounting functions such as expense reporting and invoice processing.
  9. Coordinate boardroom bookings, meetings, events, and take minutes.
  10. Administer staff recognition programs, milestone celebrations, and perquisites.
  11. Support HR programming, benefits, practicums, and events.
  12. Update HR content on the company portal and ensure document security.
  13. Participate in firm initiatives and committees, including secretarial or chair roles.
  14. Address HR inquiries or direct them appropriately.
  15. Assist with project management for firm system rollouts.
  16. Perform other duties as required.

Education & Qualifications:

  • Post-secondary education in Human Resources or related field preferred.
  • Administrative experience preferred, especially in legal or professional services industries.
  • Proficiency with document management systems and Microsoft Office Suite preferred.
