Job summary

Qualifications

  • Minimum of three years HR management experience in an office setting.

  • Experience with KI community/history is an asset.
  • Excellent written and verbal communication in English; Anishininiimowin helpful.
  • Proficiency with Excel, Word and Outlook; working knowledge of payroll systems.

Position Summary

The Human Resources ("HR") Generalist will lead administrative support and other assigned tasks for the HR Manager and the overall HR department alongside other HR Generalists at their assigned locations. This is a very important role and requires organizing ongoing communication between not only the HR department, but other KIDO departments that require HR support, reports, and other operational aspects. The tasks of the HR Generalist will include leading their assigned HR location with recruitment, interviews, performance evaluations, disciplinary processes, and other administration requirements to ensure HR matters are handled accordingly. This will also require attending department and organizational-wide meetings, drafting emails and documents, answering phones and emails, monitoring information into the administrative database(s) on KIDO employees for attendance, complaints, discipline, and other required duties as assigned. Communication is integral to this role and the ability to speak/read in both English and Anishininiimowin, the language of KI, will be required. This position will report and be responsible to the HR Manager assigned to their location, with oversight from the Manager of Centralized Operations and Services. Should these positions be vacant, the KIDO Director will be the contact until further notice.

Duties & Responsibilities
  • Must approach all their work based on love and compassion; and remain professional and set aside personal issues, keeping an open mind and being unbiased.
  • To perform duties in a timely manner and keep up in a fast-paced working environment.
  • Follow and understand the duties in KIDO Operational Policies and the MDK Service Model Manual; especially the Human Resources Policy section of the former, understanding the importance of HR personnel files being kept confidential and accessing only when authorized to do so to carry out assigned tasks.
  • Participate in training on an on-going basis and complete training required under KIDO.
  • Must maintain confidentiality of workplace information and events, which includes signing an Oath of Confidentiality.
  • Take direction from the HR Manager to lead the HR department location(s) as assigned to organize job applications, interviews, onboarding, orientation, and enrolment of benefits.
  • Work with the KIDO finance department to ensure payroll, invoices and other finance administration related to employees are communicated.
  • Carry out employee evaluations as per the system under the HR Manager, and contribute to creation and/or revisions to questionnaires, assessments, and other reporting benchmarks.
  • Provide direction and assistance when necessary for HR complaints with supervising employees and providing guidance when asked about the process, with any escalated matters brought to the appropriate level of authority, including the HR Manager or other necessary contact.
  • Provide direction to reporting employees on assigned duties and responsibilities; and administrative aspects including collecting timesheets, submissions to payroll, complaints, progressive discipline, and monitoring their personnel files for available leaves and other information.
  • Be available to KIDO employees who make HR inquiries via email, phone, and/or in-person, to record the information, and seek direction when outside of assigned duties. This includes documenting and providing updates to the HR Generalist, or other assigned supervisor.
  • To assist with preparation of information for HR meetings and other administrative meetings.
  • To provide administrative support to the HR Manager and other HR Generalists, as required. At times, this may include other KIDO employees upon receiving direction to carry out administrative tasks related to interviewing, evaluations, assist with payroll, creation/maintenance of personnel files, and others as assigned.
  • To create reports as assigned on HR activities of KIDO and assist other HR employees.
  • To organize a calendar of weekly and monthly meetings for assigned HR location(s), and ensure reporting employees prepare documents required.
  • To travel to attend meetings and events as assigned.
  • Hours of work will be during regular KIDO office hours, but will require flexibility for meetings and events of KIDO that requires HR department assistance.
  • Other duties as assigned by the HR Manager and at times the Manager of Centralized Operations and Services – or KIDO Director should these be vacant
Qualifications
  • A minimum of three (3) years experience in HR management or relevant HR experience in an office setting will be required. Certification and/or licenses in the HR is an asset.
  • Completion of high school, a two (2) year community college diploma, university bachelor’s degree and/or other education related to HR management is an asset.
  • Experience working with the community of KI and understanding of the history of KI, including the traditions and cultural teachings, is an asset.
  • Must be personable, professional, and reliable for attendance to work.
  • Must have excellent verbal and written communication skills in English and a good verbal command of Anishininiimowin language.
  • Must have experience with computer software, including Microsoft Excel, Word, and Outlook,
  • Must have knowledge of workplace legislation related to HR administration including workplace safety standards, Canada Labour Code, and federal benefits.
  • Must have experience with onboarding, offboarding, and orientation of employees; and ability to be able to maintain confidentiality when an employees’ main point of contact.
  • Must be highly motivated, organized, and able to prioritize task lists to be efficient in the role.
  • Must be able to work in collaboration with a multi-disciplinary team, with experience in providing supervision and guidance to employees in an HR department.
  • Have a working knowledge of KIDO and the MDK Service Model.
  • A valid driver’s license is mandatory.
  • A satisfactory Criminal Record Check, with a Vulnerable Sector Check, is required.
  • Ability to travel as necessary for work and training, across KIDO locations to KI, Sioux Lookout, and Thunder Bay, and other places.
