Human Resources Associate
Effective September 2026

Reporting to the Senior Staffing Coordinator and as a key member of the Human Resources team, the Human Resources Associate connects employees with the human resources department’s systems and services. Through the provision of systemic review and procedural support, as well as compassionate connection and assistance for employees seeking information on leaves, professional development and employment opportunities, the Human Resources Associate is often an employee’s primary contact within the Human Resources Department and requires an individual with exceptional interpersonal and analytical skills.

Key Responsibilities
  • Engages with bargaining unit and exempt employees to support employee onboarding and offboarding processes, and, in consultation with school based administrative teams and the human resources team, develops and implements procedures for onboarding and off boarding of bargaining unit and exempt employees.
  • Responds to employee inquiries, including inquiries about leaves, professional development, and recruitment.
  • Runs consecutive day absence reports, conducts wellness calls, and compiles referral packages for JEIS for support staff who have been absent for five days or longer.
  • Maintains and updates Employee intranet, including through uploading news, employee health and wellness tips, and Work2Wellness events and discounts.
  • Under the direction of the Senior Staffing Coordinator, supports the recruitment process by responding to external enquiries and providing accurate information to supervisors and candidates.
  • Responsible for accurate entries in PowerSchool Atrieve and applicable corresponding records such as salary, status, union information, and seniority.
  • Maintains PowerSchool Atrieve database information, ensuring accurate data entry, and position control.
  • Responsible for clear interpretation and accurate communication of complex information and situations to internal and external audiences.
  • Provides accurate, efficient and service-oriented responses to all requests for information from departments, unions, external agencies, applicants and others as appropriate.
  • Assists HR Advisors in annual audit and review of staff schedules and creates and provides review tasks for school administrators for review and correction.
  • Develops, coordinates, and validates monthly, quarterly, and annual HR compliance and workforce reports, including Teacher Regulation Branch status reporting, support staff criminal record five-year rechecks, and related workforce data reporting. Ensures data integrity, audit readiness, and adherence to legislative, and district requirements.
  • Responsible for maintaining all relevant filing systems within the guidelines of the Freedom of Information and Protection of Privacy Act.
  • Provides back-up dispatch coverage and support in the absence of the HR Representative.
  • Works under minimum supervision, uses the exercise of sound judgement as to the method of performing the work, and ability to prioritize own tasks to meet deadlines and role expectations.
  • Other duties as assigned by the supervisor and other exempt human resources employees from time to time.
The successful applicant will possess:
Training and Experience
  • Human Resources Management Diploma or Business Administration Diploma including courses in Human Resources Management.
  • Minimum four years of current related experience in Human Resources within a complex multi-union environment. Experience will include knowledge and expertise in the use of HRIS database systems, with experience with PowerSchool Atrieve considered an asset.
  • An equivalent combination of education and experience may be considered.
Qualifications
  • Advanced level of proficiency with MS Office including Word, Outlook and Excel.
  • Word processing skills of 50 wpm.
  • Demonstrated leadership skills and ability to train, support and liaise with staff in non-technical terms.
  • Ability to perform data entry and maintain records with attention to detail and a high level of accuracy.
  • Excellent interpersonal, oral, and written communication and customer service skills, with the demonstrated ability to exercise tact, good judgment, and diplomacy.
  • Ability to compile, analyze, and reconcile reports.
  • Proven ability to identify, investigate and assess issues and utilize problem-solving, analytical, and decision-making skills as necessary to provide efficient and effective HR services.
  • Ability to exercise a high level of professionalism and discretion with confidential information.
  • Ability to organize and prioritize duties with strong attention to detail and high level of accuracy.
  • Self starter with the ability to work independently and collaboratively within a team environment.
  • Ability to manage high volumes of work and adapt to changing deadlines and priorities.
  • Responsible for the standard and consistency of own work, with attention to detail and ongoing learning.
  • Proven ability and willingness to quickly learn and use new skills and knowledge brought about by rapidly changing information and/or technology.
  • Proven ability to conscientiously handle sensitive and confidential information and documentation in a discreet and professional manner.
  • Commitment to the pursuit of continual learning, and willingness to invest in the learning of others.
