Job summary

Black Fly Beverage Co. is seeking an HR Administrator to provide administrative support to the Human Resources department, assisting with recruitment, onboarding, employee records management, and day-to-day HR operations.

The role requires exceptional organizational skills, attention to detail, professionalism, and the ability to maintain confidentiality while working with employees, leaders, and external partners.

Qualifications

  • Degree, diploma or post-secondary certificate in Human Resources from an accredited institution is required.
  • Zero to three years of work experience in Human Resources is preferred.
  • Experience supporting recruitment, onboarding, and/or HR administration is considered an asset.

Responsibilities

  • Support recruitment and screening, prepare interview materials, and coordinate interviews.
  • Coordinate pre-employment processes and offer letters.
  • Coordinate employee onboarding activities and orientation schedules.
  • Prepare and maintain employee files and HR documentation with confidentiality.
  • Support offboarding processes and return of company property.
  • Assist with employee engagement programs and HR communications.
  • Handle general office administration to support daily operations.

Role Summary

The HR Administrator is responsible for providingadministrative support to the Human Resources department while assisting withgeneral office administration. This role plays a key part in delivering anexceptional employee experience by supporting recruitment, onboarding, employeerecords management, and day-to-day HR operations. The position requiresexceptional organizational skills, attention to detail, professionalism, andthe ability to maintain strict confidentiality while working collaborativelywith employees, leaders, and external partners. The HR Administrator also supports various office functions to ensure the workplace remains organized,professional, and efficient.

Key Responsibilities
Human Resources Administration (75%)
  • Support the recruitment and selection process,including preparing and posting job advertisements, monitoring applications,assisting with candidate screening, and coordinating interviews and candidatecommunications.
  • Coordinate recruitment documentation andpre-employment processes, including preparing interview materials, conductingreference checks, preparing offer letters and employment agreements for review,and supporting onboarding requirements.
  • Coordinate employee onboarding activities,including orientation schedules, employment documentation, required forms andpolicy acknowledgements, the preparation of employee files, etc.
  • Coordinate new hire equipment, supplies, andworkplace setup, including safety boot and safety glasses vouchers, SWAG,identification badges, onboarding materials, and workstation setup withrelevant departments.
  • Support employee offboarding processes,including preparation of exit documentation, collection of company property andequipment, system notifications, and other offboarding requirements.
  • Support a positive employee experience throughprofessional and responsive HR service, including answering employee inquiriesand/or directing them to the appropriate party, assisting with employee surveys,and other employee communications and initiatives.
  • Maintain accurate and confidential employeefiles, records and documentation, including updating employee personnel files, makingHR system updates and supporting document management and records retentionpractices.
  • Administer employee engagement programs,including but not limited to company events and initiatives, various recognitionprograms, monthly staff cases, SWAG materials, and other initiatives designedto support employee engagement and workplace culture across all departments andshifts.
  • Coordinate various HR administrative processesand communications, including tracking performance evaluation processes,preparing HR correspondence, coordinating staff training, etc.
  • Other related HR duties as assigned.
Office Administration (25%)
  • Receive and support customers, visitors,candidates, and external vendors as they arrive on the premises in a welcomingand professional manner.
  • Maintain and manage the ordering, stocking and distributionof various supplies, including but not limited to general office supplies, ITequipment/resources, snacks, coffee, water, etc.
  • Assist with meeting room scheduling andpreparation.
  • Assist with various company communications,notices, and bulletin boards.
  • Provide general administrative support to variouscompany initiatives such as 5S, etc.
  • Other related administrative duties as assigned.
Qualifications & Requirements
Education & Experience
  • Degree, diploma or post-secondary certificate inHuman Resources from an accredited institution is required.
  • Zero to three years of work experience in HumanResources is preferred.
  • Experience supporting recruitment, onboarding, and/orHR administration is considered an asset.
Certifications/Designations/Credentials
  • Working toward or possessing a CHRP designation is considered an asset.
  • Intermediate proficiency with Microsoft OfficeSuite (Word, Excel, Outlook, PowerPoint) required.
Knowledge, Skills & Abilities
  • Knowledge of HR principles, practices, policies, and administrative processes.
  • Knowledge of employee records, onboarding/offboarding, recruitment, benefits, attendance, and training administration.
  • Knowledge of applicable employment legislation and confidentiality requirements.
  • Knowledge of general office administration and professional business practices.
  • Knowledge of Microsoft Office and HRIS/payroll systems.
  • HR administration, employee record keeping, and documentation.
  • Recruitment, onboarding, and employee support coordination.
  • Professional written and verbal communication and customer service.
  • Microsoft Office, data entry, reporting, and information management.
  • Organization, time management, and prioritization.
  • Problem solving, issue escalation, and administrative coordination.
  • Ability to manage multiple priorities while maintaining accuracy and attention to detail.

  • Ability to work independently while contributing effectively within a team.
  • Ability to recognize issues requiring escalation and follow established HR processes consistently.
  • Ability to adapt to changing priorities and provide responsive support in a fast-paced environment.
Working Conditions
Schedule
  • This position is normally scheduled Monday to Friday during regular business hours.
  • Occasional overtime or additional hours may be required to support recruitment events, onboarding sessions, or company activities.
Setting
  • Work is performed primarily in an office environment with regular interaction with internal departments, customers, suppliers, and sales representatives.
  • Regular movement between office, production, warehouse, and shipping areas is required, including the use of various PPE.
Mental Requirements
  • Mental focus and concentration to manage multiple competing priorities while maintaining a high level of organization.
  • Mental dexterity to identify issues, exercise sound judgment, and determine appropriate solutions or escalation paths.
  • Mental adaptability to adjust to changing priorities and workflows.
  • Awareness and recognition of safety hazards in a dynamic production environment.
Physical Requirements
  • Ability to sit and work at a computer for extended periods.
  • Occasional lifting of office supplies or materials up to 25 lbs.
  • Frequent keyboarding, telephone communication, and document preparation.
  • Manual dexterity to regularly use computers, telephones, printers, and other office equipment.
  • Use of personal protective equipment (PPE) is required where applicable.
  • Ability to occasionally support company events requiring setup and teardown.
