Job description

Nature of the Work

The principal and customary work of the employee in this employment class consists in performing various technical tasks of an administrative nature. They assist support personnel as well as users of the department concerned.

Responsibilities
  • Processes all payroll related entries including but not limited to: payroll adjustments, vacation/sick bank payouts and updates, statutory holiday payments, additional vacation payments, seizures, leaves of absences, conversion of contracts, CI adjustments, leaves of absence, salary seizures, and other related entries.
  • Receives, analyzes and processes pay related requests (terminations, salary adjustments etc.); applies legislation, policies, procedures and collective agreements where applicable;
  • Verifies payroll entries related to salaries, budget codes, revenue codes and all associated calculations;
  • Support Quarterly and year-end payroll processes, including reporting for Finance and external auditors, and prepare required government and institutional deduction reports.
  • Oversees all payroll related email communications sent to the service (Dawson Payroll) and responds to and follows up with any employee payroll queries;
  • Acts as resource person for time-reporting access and support, coordinates training sessions for all categories of employees;
  • Prepares, validates and submits Records of Employments;
  • Provides operational support to the Payroll Professionals and Managers
  • Creates and distributes annual leave banks, including sick, vacation, overtime, and statutory holiday (VWR)
  • Calculates vacation and sick leave entitlements in accordance with the applicable Collective Agreements.
  • Produces and issues sick bank statements in accordance with the Collective Agreements.
  • Generates, tracks, and follows up on vacation planners; submits approved planners to Time Management
  • Monitors unpaid vacation and makes adjustments as required.
  • Maintains and updates additional vacation banks, including adjustments related to leaves, position changes, or entitlement revisions.
  • Administers overtime banks, including annual payouts or carryovers, tracking agreements, and adding banks for newly eligible employees.
  • Updates sick leave banks each pay period, including adding entitlements for new eligible employees, and process annual payouts or conversions to vacation.
  • Performs other related duties as required.
Qualifications

To have a diploma of college studies (DEC) with an appropriate specialty or, a diploma or an attestation of studies which is recognized as equivalent by the competent authority.

  • Intermediate Microsoft Word and Excel skills (testing may be required);

  • Excellent organizational and multi-tasking skills;
  • Must be able to maintain department standards with respect to the confidentiality of information
  • Intermediate alpha numeric data entry skills (testing may be required)
  • Intermediate English communication skills (testing may be required);
  • Intermediate French communication skills (testing may be required);
  • Knowledge of Clara RH-Paie, an asset
  • Canadian Payroll Certification, an asset
