Job summary

Geotab Inc. is seeking a Corporate Real Estate Project Lead to manage and coordinate real estate projects outside the Oakville headquarters, serving as the primary contact for Office Experience oversight.

This role partners with IT, Security, Communications, and People Operations to ensure on-time, on-budget delivery and vendor management. You will lead global office openings/closings/moves, manage budgets, review lease terms with legal, and ensure compliance with brand and safety standards.

Qualifications

• 6+ years of experience in a related field.

• Experience managing office or construction projects from approval through delivery.
• Strong vendor management and contract negotiation skills.
• Ability to manage multiple projects simultaneously across different geographies.
• Demonstrated financial management skills including budget development and cost control.
• Strong risk management skills and ability to mitigate project risks.
• Attention to detail, organization and time management with ability to meet deadlines across concurrent initiatives.
• Excellent written and verbal communication skills with senior leadership.

Responsibilities

• Lead and manage a wide range of global office projects including openings, closings, moves, and other initiatives.
• Collaborate on change management activities for office transitions with communications and People Operations to minimize disruption.
• Ensure projects are completed on time and within budget; assist with budget creation as required.
• Serve as SME guiding Office Experience tasks across project lifecycle.
• Review lease agreements with legal to ensure contractual compliance.
• Coordinate with cross-functional teams (IT, networking, security) to address gaps.
• Develop and implement standardized processes and best practices for office projects across locations.
• Evaluate potential properties for technical fit, headcount needs, and budget viability.
• Collaborate with procurement on RFPs for office services.
• Ensure design compliance with brand, accessibility, and sustainability goals.
• Conduct site visits and track progress against schedule; manage change orders.
• Coordinate IT infrastructure, security systems, AV, and furniture installation.
• Manage decommissioning and space restoration per lease obligations.
• Anticipate risks and develop contingency plans to maintain timelines and costs.
• Track budgets, PO management, and scope control across projects.
• Monitor global lease agreements for renewals and compliance.
• Ensure vendors meet contract terms and safety standards.
• RBAC owner and security protocol compliance.
• Oversee workspace setup to meet health and safety standards.
