Purpose:
Tomanage the Unit’s servicesand projectstoeffectively meet theorganization'sneeds.To support the Unit’s staff and ensure thatthe Unit’soperations areproperlymanagedand administered.Ensures thatthe Unithasthe necessary policies,procedures,and systems in place to ensure efficiency.
Roles & Responsibilities:
To supportand lead the ODU team, with the ODUDirector, in executing ODU projects and maintaining ODU operations
- Tracks and ensures implementation of initiativesidentifiedin the strategic plan for the ODU;
- SupportstheDirector ofOrganizationalDevelopmentindeliveringorganization-wideinitiatives;
- Assignstasks and projects to the ODU team;
- Supervises direct reports within the ODU team;
- Meets regularly withtheODU team toidentifyareas of improvement and ensure required supports are provided;
- Communicates with theODUDirector and ODU team regularly about any potential risks, areas of improvement, oradditionalsupport neededin regard toODU initiatives and operations.
- Fosters a positive atmosphere of growth,learning,and teambuilding;
- Acts as a mentor, a decision maker, and a mediator asrequired;
- Facilitates the resolution of issues;
- Evaluates,reviews,and communicates results of allODUinitiativesto the ODU team and MCK;
- Tracks the factors that influence the success of ODU’s work and adjusts approaches as needed;
- Acts as the representative for the ODU in operational and administrative matters.
Todevelopandmanagethe efficient and effective operations of the ODU
- Develops and implementsODUoperationalpolicies,standards,andprocedures;
- Develops and manages theODUbudget(s);
- Coordinates with other MCK Units on behalf of ODU;
- Provides client intake and triage for service requests;
- Ensures proper documentmanagementand sharing withinthe ODU team;
- Maintains records of all ODU initiatives;
- Designs, implements, and continuously improves systems and practices that will foster streamlined communications and operations within ODU;
- Ensures implementation,communication,and evaluation of any changesto ODU operations;
- Determinesadministrative and operationalneedsfor ODU.
Tooversee, develop, and execute initiatives and projects within the MCK
- Ensuresthetimelydevelopment, maintenance, and updating of business cases, project charters, and work plans;
- Prioritizesand managesthe tracking of all assigned projects and files using current technology platforms, coordinating schedules, contacts, activities, and documentation;
- Developsand implementsprojects using the MCK Project Management Framework, ensuring alignment with the MCK Strategic Plan and regular updates tothe Unit Director and otherstakeholders;
- Identifiesand documentsrisksimpactingproject timelines or deliverables,applyingproblem-solving techniques to resolveissues,and mitigate risks;
- Participatesin strategic discussions, committees, meetings, and briefings, contributing guidance, input, and feedback;
- Collaborateswith consultants, serving as the primary clientanddirecting their contributions to ensure project criteria are met;
- Researches, prepares, and presentsbriefs on initiatives or files, while staying informed of new developments related to assigned projects;
- Establisheslinkages between parties and ensuresthe flow of information through effective communication protocols;
- Plansand organizesprojectlogistics, including meetings and financial documentation, such as reports, invoices, and contracts, ensuring compliance with MCK policies and record-keeping requirements;
- Balancesproject management responsibilities with active contributions to project deliverables and tasks, ensuring high-quality outcomes that meet or exceed stakeholder expectations;
- Handlesadministrativetasksnecessary to ensure smooth project execution;
- Facilitatesmeetings/working sessions withstakeholders.
To manage to the ODU Office to ensure itremainsoperationaland functional
- Ensures the building and meeting room are open and ready for use between 9am-12pm, and 1pm-4pm;
- Works with the MCK Main Office Receptionistand ODU Administrative Assistantto manage the room bookings, flagging potential meeting conflicts;
- Assiststhe meeting room’s users with any questions they have about the ODU Office.
Education & Experience:
- Bachelor’s Degree in Business Administrationplusthree(3) years relevant experience
orequivalent;
OR
- High School Diploma, pluseight(8) years relevant experience.
Knowledge, Skills & Abilities:
- Comprehensive knowledge of the Mohawk Council ofKahnawà:ke's Administration Manual/Personnel Policy, procedure, and office operations is an asset;
- Comprehensive corporateknowledge;
- Sound knowledge of MS Office systems (Word,Excel,PowerPoint, Outlook, MS Project)and willingness to learnnewprograms;
- Mustpossessthe following skills: project management, facilitation, interpersonal,leadership, problem solving,time management, organizational/coordination, technical writing, strong oral and written communication, and negotiationskills;
- Ability towork with andmobilize ateam;
- Ability to take initiative and followthrough;
- Ability to communicate in theKanien'kéhaand French languages is an asset;
- The willingness to learn theKanien'kéha language isrequired.
Working Environment:
- Occasional overtime may berequired;
- Maintains a flexible work schedule to meet the demands of Executive Management.
