Job summary

Make‑A‑Wish Canada seeks a Fundraising Operations Coordinator to oversee data governance, prospect clearance, and CRM workflows supporting fundraising teams. You’ll report to the Director of Fundraising Operations and ensure the day-to-day health of our CRM with standardized processes and reporting tools.

This full-time, hybrid position offers a Canada-wide base with a salary range in the 48,000–54,000 CAD per year.

Qualifications

  • 2 years in administrative, operations, or data-support roles, preferably in fundraising/nonprofit.
  • Experience using CRM systems (Salesforce preferred) and MS Office tools.

Responsibilities

  • Lead data quality initiatives in Salesforce, including duplicate management and audits.
  • Manage national prospect clearance matrix and support fundraising teams with prospect research.
  • Oversee Salesforce data reconciliation for major gifts and pledges.
  • Develop Salesforce dashboards and reports translating KPIs into pipeline insights.
  • Serve as operational liaison for Corporate, Philanthropy, and Community Partnerships teams.
  • Manage Fundraising Operations inbox, resolve data issues and escalate policy exceptions.
  • Collaborate across Fundraising teams to drive organizational goals and foster inclusion.
  • Coordinate SOPs and operational projects to improve efficiency.

WHERE YOU COME IN

We are looking for a Fundraising Operations Coordinator to join our team at Make‑A‑Wish Canada. In this role, you will coordinate the tactical execution of data governance, prospect clearance, and operational workflows that power our fundraising teams. Reporting to the Director of Fundraising Operations, this role owns the day-to-day health of our CRM, standardizes processes and builds functional reporting tools.

This role can be based anywhere in Canada and is a full‑time, hybrid, permanent position. The hiring range for this role is $48,000-$54,000.

What You Will Do
  • Lead structural data quality initiatives within Salesforce (Non Profit Service Pack), including duplicate management, record clean-up, audits, and compliance with data governance and confidentiality policies. Ensure user inputs comply with organizational policies.
  • Manage the national prospect clearance matrix to ensure requests are handled efficiently, and conduct secondary financial and philanthropic prospect research to support fundraising teams.
  • Oversee Salesforce data reconciliation for major gifts, pledges, and fundraising pipelines in alignment with Finance.
  • Develop Salesforce dashboards and reports that translate organizational KPIs into clear fundraising pipeline insights.
  • Serve as the operational liaison for Corporate, Philanthropy, and Community Partnerships teams, troubleshooting workflows and optimizing stewardship processes.
  • Manage and triage the Fundraising Operations inbox, resolving complex data issues and escalating policy exceptions as needed.
  • Collaborate across Fundraising teams to advance organizational goals and foster a culture of inclusion, empathy, belonging, and One‑Team Leadership.
  • Coordinate operational projects and SOP documentation to improve efficiency and consistency.
  • Other duties as required.
What You Bring
  • Post‑secondary education in business, administration, nonprofit management or equivalent combination of training, education and work experience.
  • 2 years of experience in administrative, operations, or data-support roles, ideally within fundraising, development, or a nonprofit environment.
  • Experience using CRM systems (Salesforce preferred) and Microsoft Office tools, especially Excel. Adaptability to different technologies and software is a must.
  • Strong communication skills and the ability to collaborate across several teams.
  • A clear Criminal Background Check will be required.
YOUR WORK ENVIRONMENT
  • Hybrid work model, with 2 days in‑office per week and 3 days remote.

  • Working with multiple demands and changing priorities. Long periods of looking at numbers, data and reports.
