Merrithew is seeking a Front Desk Coordinator to join our Toronto studio, serving as the first contact for members and guests. You will blend front desk duties with proactive sales and member engagement to grow memberships.

Qualifications

  • 2+ years experience in front desk, customer service, or sales roles (fitness or hospitality preferred).
  • Passion for health and wellness.
  • Excellent communication and interpersonal skills.
  • Strong sales aptitude nurturing leads and overcoming objections with a customer-first mindset.
  • Proficiency in Microsoft Office and POS software.
  • Ability to multitask and remain calm under pressure.
  • Availability for early morning, evening, or weekend shifts as required.
  • Comfortable engaging with members to capture authentic in-studio moments (photo/video) for social media use.

Responsibilities

  • Greet members and guests, building community and lasting relationships.
  • Provide information about memberships, classes, services, and promotions.
  • Handle member check-ins, bookings, and payments accurately.
  • Give first-time guests a tour and introduce them to their instructor.
  • Maintain a clean, organized front desk, changeroom, washrooms and studio space.
  • Address member inquiries in a timely, courteous manner.
  • Collaborate with instructors to convert guests into members.
  • Promote and sell memberships, class packages, and retail products.
  • Schedule and conduct tours for potential members, explaining benefits and offers.
  • Follow up with prospective leads via phone, email, or text per management cadence.
  • Support growth initiatives and events to enhance member engagement.

Position Overview

The Front Desk Coordinator serves as the first point of contact for members and guests, providing exceptional customer service and supporting sales efforts to grow the fitness center's membership base. This role combines front desk reception duties with proactive sales and member engagement responsibilities.

Major Responsibilities

Customer Service

  • Warmly and professionally greet all members and guests by name to foster community, connection, and lasting relationships.
  • Provide information about memberships, classes, services, and promotions.
  • Handle member check-ins, class bookings, and payments accurately.
  • Provide first time guests with a tour and introduce them to their instructor.
  • Maintain a clean, organized and fully stocked front desk area, changeroom, washrooms and studio space at all times.
  • Address member inquiries in a timely and courteous manner.
  • Collaborate with the instructor to convert first‑time guests into members based on the instructor’s recommendation.
  • Promote and sell memberships, class packages, and retail products.
  • Schedule and conduct tours for potential members, explaining benefits, facility features and intro offer.
  • Follow up with prospective leads via phone, email or text by following the cadence on the management software.
  • Achieve monthly and quarterly goals set out by Sr. Manager of the STOTT PILATES studio.
  • Support growth and engagement initiatives such as referral programs and challenges.
  • Assist in the planning and execution of both in‑studio and off‑site events to enhance member engagement and community outreach.

Administrative & Operational Support

  • Process membership applications, renewals, and assist with freezes and cancellations.
  • Maintain accurate and up to date member records and schedules using the management software.
  • Manage POS transactions, and daily sales reconciliation.
  • Assist with opening and closing procedures, ensuring operational standards are met.
  • Coordinate with instructors and management to ensure smooth daily operations.
  • Communicate and work cohesively with the rest of your team to ensure smooth transitions between shifts.
  • Spot clean studios, bathrooms and equipment ( vacuum, spot mop, dust) when needed and restock bathroom supplies
  • Coordinate apprentice schedule for all appointment changes
Skills and Qualifications
