Job description

Emily Carr University of Art + Design is a school of students, faculty, thinkers and makers unlike any other. Permanent Full-Time Position
8:30am to 4:30pm / Monday to Friday

The Foundation Program Coordinator provides effective coordination of Foundation programs and events. The Foundation Program Coordinator works closely with students, staff, and faculty to provide relevant information to Foundation students on resources, procedures, foundation events and community information in coordination with Student Services, Counselling + Wellness Office and Technical Services.

Responsibilities:

1. Serves as a key point of contact for Foundation students, providing information on course registration and scheduling, coordinating activities and addressing general and specific inquiries related to their Foundation experience.
2. Supports students in their adjustment to the University by offering information and referrals to faculty, counselling or support services, as appropriate. Keeps the Assistant Dean, Foundation, informed of emerging student issues or concerns.
3. Coordinate with the Foundation Studio Technicians and coordinators, as required, to support the coordination between the Office and Shop.
4. Liaises with faculty, technical staff, and Student Services to exchange information and initiate action as appropriate regarding events, scheduling changes, space and safety concerns, equipment and supply requirements, and other related issues. Communicates information effectively via correspondence, signage, email and social media as needed.
5. Coordinates the organization of Foundation events, and other special programming for Foundation students, including but not limited to start of term orientations, high school visits, foundation art shows, opening night events, and the peer mentors.
6. Manages budgets for orientation sessions and community events, including but not limited to the foundation show, social events and similar initiatives and monitors classroom supplies budget.
7. Leads and coordinates orientation events specific to foundation students, in collaboration with student services and technical services.
8. Leads the development and execution of the Foundation Show, in collaboration with faculty and staff, shaping its overall structure and logistics.
9. Ensures curriculum compatibility of classroom assignment schedule. Provides “at a glance” matrix showing classroom and faculty bookings for each room in the department each semester. Serve as a point of contact to Foundation faculty particularly around distribution of classroom materials.
10. Provides information to students, staff, and faculty on policies and procedures relating to Foundation curriculum administrative structure and resources as well as supporting annual area reviews and Program Review processes in Foundation.
11. Liaises with the Registrar’s Office and provides updated information on registration and other academic matters for students. Maintains department social media.
12. Gathers information from faculty to maintain and distribute list of important dates in Foundation. Keeps schedules of studio and academic dates and assignments from conflicting.
13. Under the direction of Dean, Faculty of Culture + Community, supports the development and implementation of an effective peer mentor program.
14. Facilitates the coordination of the Foundation Student Council by organizing the call for student representatives, scheduling and supporting regular council meetings, and assisting with student advocacy initiatives.
15. Supervises student workers during key events and activities related to Foundation programs, ensuring smooth operations and a supportive learning environment.
16. Aligns with Student Services to provide letters of welcome for Foundation students prior to the fall semester each year.
17. Under the guidance of the Dean and the Assistant Dean, Foundation, make all administrative arrangements for the Foundation Forum series including liaising with the Events department to publicize them.
18. Performs other related duties as required.

Qualifications:

• Bachelor’s degree in fine arts or related field.
• Minimum three years’ experience in administration in a post-secondary (preferably art-related) environment.
• Or an equivalent combination of education and experience.
• Knowledge and experience in Foundation curriculum.
• Experience with Colleague and Informer is an asset.
• Strong organizational and administrative abilities.
• Excellent written and verbal communication and interpersonal skills.
• Ability to deal effectively and to maintain good working relationships with students, staff, and faculty.
• Ability to identify student concerns and refer students to appropriate university resources or support services as needed
• MS 365 Proficient in Microsoft Office365 - SharePoint, Word, Excel, PowerPoint and ability to use Colleague
• Ability to work independently, exercise sound judgement and make appropriate budgetary decisions.
• Ability to manage multiple tasks effectively, adapt to changing priorities, and maintain focus in a dynamic environment.
