Job summary

Universal Group is seeking a Fleet & Rentals Coordinator to optimize interior operations around fleet and rental activities. You will manage inventory, maintenance, property tracking and ensure fleet readiness across sites.

Role requires hands-on leadership, 2+ years fleet management, and proficiency with Geotab, Google Suite and rental software. A company truck and comprehensive benefits are provided.

Qualifications

  • High school diploma or equivalent; a bachelor’s degree in a related field is a plus.
  • Hands-on leadership – 50% admin, 50% field support.
  • Minimum 2 years of fleet management experience, preferably in a traffic control or similar industry.
  • Proficiency with inventory software and Google Suite; Geotab & Point Of Rental experience preferred.
  • Valid driver’s license with clean record; trailer towing experience a plus.
  • Strong organizational and problem-solving skills; excellent communication.

Responsibilities

  • Manage inventory records and reorder supplies to ensure uninterrupted operations.
  • Coordinate vehicle and equipment deliveries and movement across sites and fleets.
  • Track company property in warehouse and offices; implement check-in/check-out system.
  • Oversee facility maintenance, safety inspections, and compliance with regulations.
  • Liaise with vendors; issue approved purchase orders and monitor timely service.
  • Generate regular reports on inventory, assets, and facility status with insights for cost savings.

As a Fleet & Rentals Coordinator,you will be responsible for optimizing the Interior operations surrounding fleet and rental business. Primary responsibilities will include inventorymanagement, equipment repair/maintenance, property/asset tracking, and ensuring the overall functionality and cleanliness of the fleet, facilities, andequipment.

What you will be responsible for:
Inventory Management
  • Maintain accurate records of all inventory items in the warehouse.
  • Monitor stock levels and reorder supplies/equipment as needed to ensure uninterrupted operations.
  • Conduct regular inventory audits to identify discrepancies and implement corrective measures.
  • Supplies equipment as needed to support all company fleet vehicles, sites, and personnel.
  • Provide weekly reporting to the Operations Manager.
  • Provide timely delivery of fleet vehicles and equipment as required.
  • Efficiently load, unload, and organize fleet vehicles and equipment in accordance with operational requirements.
Vehicle, Equipment Condition & Maintenance
  • Ensure all fleet vehicles and equipment is maintained and kept in clean / damage free condition.
  • Schedule and complete maintenance on equipment including trailers with electrical components, batteries, etc.
Property Tracking
  • Track and manage all company-owned property within warehouse and office facilities, including equipment, vehicles, and tools.
  • Implement a system for check-in and check-out of company property to prevent loss or damage.
Facility Maintenance
  • Collaborate with maintenance teams to ensure the facilities are well-maintained and meet safety standards.
  • Schedule and oversee routine facility inspections, repairs, and maintenance activities.
  • Supervises parking facilities, maintenance services (including janitorial and HVAC), and ensures compliance with health and safety regulations for facilities.
Vendor Relations
  • Liaise with vendors and suppliers to ensure timely delivery of supplies and equipment & timely work is completed on assets in for service.
  • Generate and share approved PO's with vendors in a timely fashion to ensure no interruption in payment to primary vendors.
Compliance and Safety
  • Ensure that all facility operations comply with safety regulations and company policies.
  • Conduct safety training and drills for employees as needed.
Reporting
  • Maintain accurate records of all fleet & equipment in appropriate portals (Geotab, Monday.com, etc.)
  • Generate regular reports on inventory levels, property status, and facility maintenance.
  • Provide insights and recommendations for cost savings and process improvements.
  • Identifies discrepancies between physical inventory counts and computerized records, and implements necessary adjustments.
  • Provide weekly, monthly and quarterly reporting to the General Manager of Traffic Services.

What we need from you:
  • High school diploma or equivalent; a bachelor's degree in a related field is a plus.
  • Hands on leadership – this is not a purely office-based role. Approximately 50% of your time will be spent doing administrative tasks and 50% will be in thefield supporting your team as needed.
  • Minimum 2 years of experience in fleet management preferably in a traffic control or similar industry.
  • Proficiency in using inventory management software and Google Suite. Experince with Geotab and Point Of Rental software is preferred,
  • Valid driver's license with a clean driving record.
  • Experience towing a trailer is preferred.
  • Strong organizational and problem-solving skills.
